• Help manage the day-to-day operations of the Housekeeping Rooms & Suites.
• Conducts daily briefings and attend meetings
• Help provide management and supervision to the Housekeeping Rooms & Suites Team Members on all shifts.
• Check VIP rooms prior to check in and in-house.
• Ensure that the requirements of VIP arrivals and in-house guests are managed well.
• Ensures turndown services are done in accordance to Marina Bay Sands standard.
• Handles all complaints and guest surveys pertaining to housekeeping service.
• Ensure that Housekeeping leaderships are kept fully aware of all feedback from either guests or other departments.
• Conducts regular inspections of rooms ensuring standards of cleanliness is maintained at all times.
• Ensure that the turnaround of the “House Status” is timely
• Be proactive in safety and accident prevention. Ensure that all Team Members are adequately trained in the use of housekeeping cleaning and sanitizing chemicals as well as lifting techniques and other potentially hazardous parts of their daily work.
• Ensure a clean, safe and pleasing environment for all Guests and Team Members.
• Help manage operating costs, especially labour, productivity and operating supply consumption.
• Help develop and implement clear, detailed training programs which match the needs of Team Members with a wide range of skills, languages and cultures.
• Supervise, train, schedule, mentor, develop and evaluate Team Members.
• Ensure all tasks are performed on time and according to safety standards.
• Help monitor consumption and wastage of : equipment; guest supplies: cleaning supplies: and linen supplies.
• Help ensure that linen and operating supplies are available in sufficient quantities, while minimizing the value of stock on hand.
• Recommend the timely replacement of guest room and suite supplies and equipment.
• Participate in research, development, evaluation and implementation of new products, services, technology and processes in anticipation of changing customer needs.

Responsibilities and Duties

1. Budgeting

• Prepare the annual budget for the Methodist Centre, JWC, ESPA, 8@MS, 7 Cotswold Close, 404/A/B Telok Blangah, 79/A Wishart Road for the Property Administration Manager review.
• Assist the Property Administration Manager in preparation of the annual budget for all other commercial investment properties held.
• Assist the Property Administration Manager to prepare the annual maintenance and Sinking Fund Budgets.
• Monitor and ensure that the maintenance and sinking fund expenditures incurred for the maintenance and upgrading works for the management and maintenance of the property and facility is utilise within and Financial Year.
• Support the Property Administration Manager in budget tracking and variance reporting.
• Assist the Property Administration Manager plan, implement and manage any upgrading work.

2. Financial and Documentation (Contract management and performance)

• Manage the end-to-end procurement process for term contracts, repairs, and upgrading works including preparing papers for FAC/GCEC approval.
• Evaluate contractor performance and ensure works are completed on time, within budget and specification.
• Prepare at summary list of term contract services. Monitor the date of term contract expiry and execute the process of contract renewal. Update the summary list of term contract and ensure that Agreement is endorse upon completion of the contract renewal.
• Ensure that suppliers and contractors submit the invoice for payment upon completion of the work. Verify and process the invoices for approval of payment upon receipt from suppliers and contractors. (WSIP).

3. Policy: Facilitating compliancy of facilities to organizational standard or government regulations. e.g. Property and facility operational or procurement policies observance or statutory facilities codes including getting SOT signature for the relevant government documents.

4. Project Monitoring

• Space allocations, providing adequate space use, moves and organizational churn, occupant satisfaction, repairs or renovation, helping with office relocation; and inspect and ensure building or basic facilities functioning well and dealing with emergencies as they arise.
• Attend to occupant’s feedback relating to Building and M&E operations to ensure the smooth operation of all Building and M&E services.

5. Process Improvement

• Assist with improvement or updates of policies and procedures or similar reports for management review, revision or endorsements, e.g. electronic procurement submission (KRIS).
• Monitor and update of the Contract Management file to ensure timely renewal of contracts.

6. Supervision of IT Administrator/Co-ordinator/Facilities Management Officer

• Plan, schedule and assign the work to the Facilities Management Officer.
• Lead, train and guide the Facilities Management Officer in the day-to-day operation.
• To provide guidance and assist the organisational needs relating to the operational task of the IT Administrator/Co-ordinator.

• Process miscellaneous receipts and follow up on unaccounted sums
• Identify and perform clearing for offsetting transactions for balance sheet accounts
• Prepare bank reconciliation and resolve reconciling items
• Investigate and resolve user’s queries
• Prepare GST and other statistical submissions
• Assist on corporate tax, internal and external audit matters
• Work with Grants and Intercompany GL teams to resolve issues
• Participate in process improvement projects
• Any other ad hoc duties assigned by supervisor

Requirements

• At least a Diploma in Accountancy
• Minimum 3 years of relevant working experience in General Ledger function
• Higher qualified/ experienced candidates will be considered for the Senior Assistant Executive position
• Self-motivated and able to work in a fast-paced environment
• Proficient in Microsoft Office such as MS Word, Excel and PowerPoint
• Good communication skills; ability to communicate with various departments and levels
• Independent, meticulous and with positive attitude
