KampungKakis (KK) is a ground-up initiative that started in 2020 during the COVID-19 pandemic, when the issue of loneliness amongst seniors in Singapore became more apparent than ever. 5 years on, we have grown into a Singapore registered charity dedicated to tackling social isolation among seniors in Singapore, one connection and one programme at a time. At the core of KampungKakis is a neighbourhood buddy system that matches seniors to their neighbours, based on proximity, spoken languages, and assistance types.

By 2030, Singapore would be considered a super-aged nation, with 1 in 4 Singaporeans aged 65 and above, and an estimated 122,000 seniors will be staying alone. It is against this backdrop that we confront the systemic problem of our seniors having an unmet need for longer-term and deeper relationships. Such relationships are difficult to develop with ad-hoc volunteers or staff of formal organisations, whom the seniors view as “Service Providers”. Especially for seniors who prefer to stay alone or not to be involved in community activities, more can be done to support their social well-being. Our mission is to reignite the kampung spirit of looking out for one another by providing a safe & inclusive platform for enduring friendships between neighbour volunteers and isolated seniors to develop.

Position Overview

The Executive, Case & Programme (Part-Time) supports the team in meeting its case work and programme goals, including overseeing senior outreach and programme delivery and impact measurement efforts. This position is an hourly-paid part-time role, with no more than 35 hours per week. The role is open only to Singapore Citizens and Permanent Residents living in Singapore. CPF contributions will be made in accordance with Singapore law.

About Your Roles & Responsibilities

1. Case Work:

• Conduct assessments of seniors’ needs and strengths using the Bio-Psycho-Social framework, and onboard and match them with volunteers.

• Upkeep and maintain clear documentation of seniors’ information, referrals and assessments in our database and to external agencies (where applicable).

• Proactively update KK’s repository of senior-related resources (formal and informal) to share with active volunteers.

• Facilitate appropriate service referral and provision to seniors.

• Conduct regular home visits and calls to check in on seniors and their matched volunteers, as well as to ensure seniors’ well-being and safety.

• Conduct sessions with seniors and/or caregivers and social workers when necessary.

2. Programme Delivery & Impact Measurement

• Responsible for ensuring the continuity of KK’s core programme: Onboard, match and facilitate volunteers to support seniors under KK.

• Oversee and execute complementary and ancillary programmes that contribute to KK’s mission.

• Lead impact measurement efforts to measure and report on KK’s programme impact on our seniors, volunteers and partners.

You are someone with the following skillsets:

• Passion for Seniors and Community Building: You enjoy speaking and spending time with seniors and are motivated by our cause to uplift seniors who are lonely and frail, by bringing communities together to support them.

• Programme Delivery: Experience with delivering outcomes of a programme or project. 

• Effective Communicator: Professional in both written and spoken communication, with the ability to bridge communication between seniors, volunteers and the team. 

• Good listener: You are attentive and patient, especially when interacting with seniors or their social worker, and you are good at summarising the key points from what you hear into case notes.

• Organisational Skills: Highly organised with the ability to manage multiple cases, and projects and deadlines. You are someone who can keep our seniors’ case notes organised.

• Relationship Building: Good interpersonal skills to cultivate and maintain relationships with diverse stakeholders, including government/social agencies, seniors, community partners, and volunteers.

• Self-Driven: Self-driven, able to work independently, and skilled at prioritising tasks to deliver outcomes.

1. Programme Planning & Scheduling

• Prepare Overall Schedule based on programme information and input from Schools.

• Plan and schedule timetables with scheduling system (Syllabus Plus) and release timetables within the given timeframe.

• Work with Heads of Schools to schedule assignments to academics (Full Time/Associates) and to ensure full-time academics are prioritized and optimally assigned to teaching assignments.

• Provide accurate information and schedule promptly and updates to relevant stakeholders as and when necessary.

• Liaise with vendors for outsourced tasks, such as lecturer placement, issuance of contract and payroll processing etc and support in providing necessary data and information where required.

• Managing and updating the pool of Associated Lecturers.

2. Resource Planning & Data Management

• Plan and manage resources (e.g. room, lecturers) using Syllabus Plus to ensure smooth delivery of programmes.

• Input, maintain and update information and data to student management system using eTeam system and / or other applicable applications.

• Ensure up-to-date AL’s name list and list of modules taught by each AL.

• Liaise with relevant department for all statutory updates on programmes and AL

3. Exams

• Working with Exam Team to plan examination schedules for assigned programmes.

• Liaise with Exam Centre for main and re-exams.

• Support Exam Team to liaise with associates/academics for preparing assessment material at pre-course stage

4. Student Management

• Perform full spectrum of student services administration, including but not limited to

• Organise and conduct orientation for new students

• Prepare and disseminate confirmed start term, test/quiz/exam information to students

• Resolve student’s queries and issues pertaining to their pathway and course administration

• Handling and processing of student’s queries/requests (re-module, deferment, extension, exemption, programme switch, withdrawal, etc)

• Monitor and track module enrolments of students in each term and follow-up on deviations to standard study pathway

• Use the Student Management System to perform and administer the enrolment of students for their study

• Monitor attendance of students, administer warning letters, follow-up on absenteeism and provide weekly/monthly reports

• Prepare info for student pass renewal

• Prepare class attendance registers

• Disseminate information to students via mass communications platforms

• Monitor student payment of course fees and issuance of invoices

• Preparation of examination nominal role

• Follow up with student on absences for exams

• Flagging and follow up of at risk students

5. Programme Management

• Assist in lecturer orientation where required.

• Liaise with internal academics and/or university partners on administrative and operational matters related to the courses

• Build and maintain good relationship with internal and external stakeholders

6. General Matters

• Ad hoc duties as required

Requirements

•  Degree In any discipline with 1-2 years working experience.

• Prior relevant experience from the Private Education industry will be an advantage.

• Meticulous and self-motivated with strong organisation skills

• Meticulous and able to multi-task.

Job Scope:

1. Programme Training & Development

• Support curriculum updates based on stakeholder feedback

• Assist in developing e-learning modules

• Coordinate Tier 1 & 2 training sessions for CCT and community partners

• Support resource development for interventions

• Provide logistical support for GP and PCC training programmes

• Collate training feedback from participants

2. Stakeholder Coordination & Partnership Management

• Facilitate strategic stakeholder engagement planning

• Support collaborative initiatives and partnership maintenance

• Liaise with participants for programme attendance

3. Community Programme Administration

• Provide administrative support for co-creation sessions with AACs

• Coordinate Allied Health programme scaling

• Support Allied Health programme development and delivery logistics

4. Workflow & Process Support

• Provide secretariat support in integrating EatWiseSG stratification frameworks into CCT processes

• Support development of inter-tier workflow documentation and GP referral pathways to Allied Health Services

• Support workload and KPI tracking

Requirements

• Min Bachelor Degree in any discipline, preferably in Life Sciences, Healthcare, Business Administration

• Min 2 of working experience, preferably in a healthcare setting
