Senior Executive (Academic) – 1-Year Contract (Extendable)

Hours: Mon–Thu 8:30am–5:45pm, Fri 8:30am–5:15pm
About the Role
We are seeking a highly organised and detail-oriented Senior Executive to join our undergraduate programme team. The role involves supporting overseas immersion programmes, managing part-time instructors, coordinating student internships, and strengthening industry partnerships to enhance student learning, employability, and programme relevance.
Key Responsibilities
Overseas Immersion Programmes
- Collate budgets for overseas courses in consultation with instructors.
- Support procurement, finance administration, and vendor management.
- Provide administrative and logistical support for overseas course components, including flight bookings, accommodation, and travel arrangements.
- Conduct pre-departure briefings and implement crisis management protocols.
- Track programme budgets and expenditures, and gather feedback for management reporting.
- Liaise with the Communications team to feature students’ experiences.
Engagement of Part-Time Instructors
- Coordinate recruitment and serve as main point of contact for part-time instructors.
- Manage teaching assignments and support instructors’ operational needs.
- Facilitate communication between leadership and instructors to ensure academic standards and course delivery.
Internship and Experiential Learning Coordination
- Coordinate student internship programmes with relevant offices and partners.
- Support approval and assignment of internship supervisors.
- Provide support during internships and manage feedback for continuous improvement.
Industry Engagement and Partnerships
- Support development and maintenance of strategic industry partnerships.
- Coordinate networking sessions, workshops, guest lectures, and professional sharing events.
- Identify new collaboration opportunities for internships, student projects, and applied research.
Events and Stakeholder Engagement
- Coordinate academic-industry events and key programme events (orientation, information sessions, workshops, seminars, convocation).
- Assist with sourcing corporate gifts, packing event kits, and on-site logistics support.
Ad-Hoc Support
- Organise department meetings and handle logistical arrangements.
- Perform other duties as assigned by the supervisor or department.
Requirements
- Bachelor’s degree with 3–5 years of relevant experience. Experience in higher education or university operations is an advantage.
- Prior experience in student mobility, global learning programmes, and industry partnership administration.
- Strong communication, writing, and interpersonal skills.
- Excellent organisational, time-management, and logistics skills.
- Ability to handle confidential information with tact and empathy.
- Proficient in Microsoft Office applications.
- Self-motivated team player with initiative and the ability to work independently.
- Positive attitude, meticulous, and eager to learn.
