About the Role

A Document Controller is responsible for managing, organizing, tracking, and maintaining project and company documents to ensure accuracy, accessibility, compliance, and version control throughout the document lifecycle.

Key Responsibilities

• Maintain and control all project and company documentation in accordance with established procedures.
• Receive, register, distribute, track, and archive incoming and outgoing documents.
• Ensure proper document numbering, revision control, and document status updates.
• Maintain document registers, transmittal logs, and filing systems.
• Coordinate document submissions to clients, consultants, vendors, and subcontractors.
• Monitor document review and approval workflows to ensure timely responses.
• Ensure all records are stored securely and remain easily retrievable.
• Prepare document transmittals, reports, and document control metrics.
• Support project teams in managing drawings, specifications, procedures, and technical documentation.
• Conduct periodic audits to ensure compliance with document control requirements.
• Maintain confidentiality of sensitive company and project information.
• Assist in compiling handover dossiers, as-built documentation, and final project records.

We are seeking a meticulous and proactive Document Controller to join our dynamic team. You will play a pivotal role in ensuring accurate documentation management and supporting project teams with efficient document control processes across all phases of the projects.

Key Responsibilities:

• Set up, maintain, and update the document control system for all project documentation, including drawings, specifications, correspondences, contracts, and reports.
• Ensure all documents are filed, stored, and retrieved accurately and promptly.
• Control issuance, tracking, and revision of documents in line with company procedures and project requirements.
• Distribute documents to project teams, consultants, subcontractors, and stakeholders as required.
• Review completeness of documentation and prepares document transmittal for submission.
• Maintain registers of incoming and outgoing documents.
• Support project managers and site teams with document-related queries and compliance requirements.
• Ensure adherence to document control procedures, confidentiality, and version control protocols.

Requirements

• Proficient in Microsoft Office 2003, 2007, 2010 and Microsoft Outlook email client.
• Familiarity with Aconex is a must.
• Meticulous, Fast Learner, Proactive, Responsible and Accountability are key.
• At least Diploma/Degree in Business administration or equivalent
• At least 5 years of experience in the related field is required for this position.
