Job Description
The Corporate Services Director serves as the institutional owner of corporate services, administrative governance, and operational control systems of the Institute.
This role is responsible for ensuring that finance administration, human resource operations, facilities management, documentation control, and operational processes are effectively managed, compliant, and aligned with institutional policies and regulatory requirements (e.g. SSG/EduTrust, PDPA, MOM).
Acting as a central coordination point across departments, the Corporate Services Director ensures that organisational operations are well-integrated, audit-ready, and supported by robust documentation, traceability, and continuous improvement practices.
The role works closely with senior management and supports the Deputy CEO in strengthening institutional governance, operational efficiency, and service quality.
Key Responsibilities
1. Corporate Governance & Operational Control
- Oversee corporate services functions and ensure processes are standardised and aligned with institutional frameworks
- Implement, monitor, and review SOPs across finance administration, HR administration, and operations
- Maintain audit-ready documentation with full traceability of approvals and records
- Support internal and external audits (e.g. EduTrust, financial audits, PDPA compliance)
- Identify operational risks and implement corrective and preventive actions
2. Finance Administration & Control
- Oversee finance administrative functions including payroll coordination, payments processing, and documentation
- Liaise with external payroll vendors to ensure accuracy and compliance
- Ensure proper financial controls, approval workflows, and segregation of duties
- Manage student financial processes including payments, refunds, and tracking
- Resolve financial discrepancies and support audit preparation
3. Human Resource Administration & Workforce Support
- Maintain accurate employee lifecycle records (contracts, payroll data, leave, performance records)
- Support implementation of HR policies in compliance with MOM regulations
- Coordinate staff training and track participation and effectiveness
- Support manpower planning and workforce coordination
4. Operations, Facilities & Asset Management
- Oversee facilities management, maintenance, and safety compliance
- Ensure compliance with workplace safety and fire safety regulations
- Manage institutional assets including inventory tracking and maintenance
- Ensure operational readiness of infrastructure and equipment
5. Document Control & Information Management
- Manage the institution’s document control system
- Ensure all documents are properly formatted, version-controlled, approved, and centrally stored
- Oversee document lifecycle management (creation to archival)
- Ensure compliance with PDPA and data protection practices
6. Cross-Department Coordination
- Act as a central coordination point for administrative matters
- Support cross-functional initiatives and ensure alignment across departments
7. External Coordination & Vendor Management
- Manage relationships with vendors, service providers, and consultants
- Support regulatory submissions and liaise with relevant authorities
- Ensure proper documentation of contracts and agreements
8. Agent Management Support
- Maintain records for agent agreements and documentation
- Support payment tracking and ensure compliance with internal policies
9. Reporting & Continuous Improvement
- Prepare quarterly management reports on operations, compliance, and process improvements
- Provide data-driven recommendations to enhance efficiency
- Track implementation and effectiveness of improvement initiatives
Requirements
Bachelor’s Degree in Business Administration, Management, Finance, or related fields
Minimum 5 years of relevant experience, preferably in a Private Education Institution (PEI)
Strong knowledge of regulatory frameworks (e.g. EduTrust, PDPA, MOM)
Excellent organisational, documentation, and coordination skills
Strong attention to detail with high compliance awareness
Ability to manage multiple stakeholders and functions in a dynamic environment
