We are seeking a highly organized and proactive Personal Assistant to support the Chairman in managing daily activities and international engagements.

This is a fast-paced role that requires frequent international travel (up to 90%) and flexibility to work according to the Chairman’s schedule. The successful candidate will help ensure the Chairman’s professional and personal commitments are well coordinated and executed smoothly.

You will work closely with a team of Personal Assistants, with responsibilities rotating depending on travel schedules and operational needs.

Due to frequent coordination with Mandarin-speaking stakeholders during business travel in China, proficiency in English and Mandarin (spoken and written) is required.

Key Responsibilities

Executive Support

• Manage and coordinate the Chairman’s daily schedule, including meetings, appointments, and personal engagements.
• Coordinate meals, transportation, accommodation, and other logistics to ensure smooth day-to-day operations.
• Act as a liaison between the Chairman and internal or external stakeholders when required.

Travel & Logistics Management

• Plan and manage international travel itineraries for both business and personal trips.
• Arrange flights, hotel reservations, transportation, visa applications, and other travel documentation.
• Monitor travel plans and proactively manage changes, delays, or schedule adjustments.

Overseas Travel Support

• Accompany the Chairman on international trips when required.
• Provide on-ground coordination and support during travel, including managing schedule changes, meeting arrangements, and logistics.
• Ensure travel arrangements remain efficient and well-organized throughout the trip.

Administrative Coordination

• Maintain organized records of travel plans, schedules, and important documents.
• Handle confidential information with professionalism and discretion.

Requirements

• Minimum 3–5 years of experience as a Personal Assistant, Executive Assistant, or in a similar role supporting senior management or executives.
• Proficiency in English and Mandarin (spoken and written) to support communication with Mandarin-speaking stakeholders and coordination during frequent business travel in China.
• Comfortable with frequent international travel (up to 90%) and accompanying the Chairman on overseas trips when required.
• Willingness to work flexible hours,including evenings or weekends, depending on the Chairman’s schedule and travel arrangements.
• Strong organizational and time-management skill with the ability to manage multiple priorities simultaneously.

Scope of Works:

• Daily Duties
• Printing or photocopying of worksheets and teaching materials for the school.
• Document handling such as laminating, binding and shredding.
• Monitor and ensure sufficient supplies are available in the printing room, such as toner, staples, paper, laminating films and binding rings.
• Ensure the printing room is well-kept and maintained in a clean condition at all times.
• Attend to troubleshooting of photocopier machine breakdowns in the staffroom.

Scope of Services:

Operation and Maintenance of AV systems:
·    To setup, coordinate, and operate basic audio, video, and lighting systems daily for school assemblies, events, meetings

·    Provide technical support for online events.

Videography-Photography Production:
·    Videography and/or Photography support for school events, publications.
·    Assist in the handling, moving & setting up of photo or video equipment for school staff.
·    Perform video / photo post-production which includes creating and editing content according to project specifications and requests such as subtitles and green screen overlay.
·    Man the school’s media-production studio by assisting staff and students in videography and/or Photography production and post-production.

ICT Support:
·    Work with ICT support team in daily device cart movement to classrooms and to various school venues.
·    Manage (Upload / delete content) School Messaging System
·    Assist in other ICT support duties as assigned by the Principal, Vice-Principals, HOD/ICT, LH/ICT, ICT Manager.
·    The school may request staff to be involved in urgent and important duties e.g. During evacuation, emergencies
·    During school holidays the staff may be requested to provide support in other areas in the school.

Qualifications, skills and experience:
·       At least GCE N level or equivalent
·       Skills in videography / photography production
·       Working knowledge of AV equipment operation
·       At least one year experience in AV or media support in schools
