About the Role

We are seeking a meticulous and proactive Payroll Associate / Senior Associate to manage manpower expenditure (EOM) related to research grants and support payroll operations. This role is ideal for individuals who enjoy working with numbers, systems, and cross-functional teams.

What You Will Do

Researcher Grants Management

Serve as the primary point of contact for all manpower expenditure (EOM)–related grant activities, liaising with both external stakeholders (grantors and appointed auditors) and internal stakeholders (Finance, Office of Research, and Principal Investigators).

• Ensure timely and accurate submission and auditing.
• Reconcile EOM postings and resolve outstanding charges.
• Provide support for EOM simulations, grant switches and other grant related matters.
• Respond to and resolve EOM-related queries from stakeholders.
• Maintain and update payroll SOPs related to research grants.

Payroll Operations

Work closely with the payroll team to support operational activities, including but are not limited to:

• Assisting with payroll operations such as processing and related payroll entries.

• Preparing monthly manual journal postings and ad-hoc adjustments due to late instructions or unforeseen circumstances.

• Managing and processing employee benefits claims in a timely and accurate manner.

• Supporting payroll system improvements, including participating in system testing (UAT) and enhancement initiatives.

Who We Are Looking For

• Degree or equivalent experience in Human Resource, Accounting, Information Systems, Business, or related fields.

• Preferably at least 3 years of payroll experience in Singapore. Fresh graduates with a keen interest in payroll are welcome to apply.

• Strong proficiency in Microsoft Excel.

• Knowledge of accounting principles and experience with manual journal entries is an advantage.

• Highly organized, detail-oriented, and able to work independently.

• The successful candidate will be emplaced at an appropriate appointment grade based on qualifications & experiences

About the Role!

As a Business Development Associate based in Singapore, you will play a crucial operational and administrative role in supporting our Business Development Managers. Similar to a Relationship Manager Assistant, you will ensure the seamless execution of the sales cycle by processing leads, facilitating client follow-ups, and managing scheduling. This position offers more responsibility than an internship, providing an excellent stepping stone for individuals looking to build a robust career in business development and financial technology.

Who This Role Is For

You are not here to close deals — you are here to make sure nothing falls through the cracks. You are the BD team's second pair of eyes across every active client relationship, freeing the team members to focus on the highest-value conversations while you ensure flawless execution behind the scenes.

Key Responsibilities:

● Client Meeting Support

o Accompany the BD team to client meetings and pitch sessions

o Take detailed notes on meeting content, client requirements, and commitments made

o Prepare and send post-meeting follow-up communications, ensuring all action items are captured and actioned

● Client Follow-Up & Documentation

o Track client document submissions and monitor completeness of onboarding materials

o Liaise with the Onboarding and Compliance teams to stay current on Account Opening status

o Escalate delays or anomalies to the Director promptly and help push resolution

● Transaction Monitoring

o Monitor client trading activity once accounts go live

o Identify friction points, process delays, or client-side issues and flag them to the Director immediately

o Coordinate client meetings as needed, including scheduling, agenda preparation, and follow-through

● High-Touch Client Tracking

o Serve as the BD team's tracker across all priority client relationships

o Maintain an up-to-date client status log so the pipeline is always visible at a glance

o Proactively identify moments that require Director-level intervention and prepare relevant context ahead of time

Requirements:

● At least 1 year of experience in financial services, payments, fintech, or a related field

● Strong bilingual communication skills in English and Mandarin (written and spoken) is needed to liaise with Chinese speaking clientele.

● Have strong social and business connections to provide potential clients/leads to the business

● Detail-oriented with excellent follow-through in a fast-paced, multi-stakeholder environment

● Prior experience with client-facing roles or onboarding processes preferred

● Comfortable operating with autonomy and proactive by nature

Job Description

• Support outreach, engagement, and publicity efforts to raise awareness and increase uptake of the Care Guides Programme and caregiver-related services.
• Conduct initial contact, screening, and basic needs assessment of caregivers and potential Care Guides.
• Coordinate and facilitate the matching, buddying, and onboarding process between Care Guides and caregivers.
• Provide ongoing coordination and basic support to caregivers and Care Guides, including check-ins, follow-ups, and escalation of issues where required.
• Assist in managing programme touchpoints on digital platforms (e.g., online forum, sign-ups), including responding to enquiries and supporting user engagement.
• Provide administrative and operational support for the programme, including scheduling, data entry, documentation, and maintenance of records.
• Support data tracking, monitoring, and reporting of programme activities and outcomes.
• Assist in organising training sessions, meetings, and engagement activities for Care Guides and caregivers, including logistics and administrative support.
• Work closely with the Senior Medical Social Worker and multi-disciplinary team to ensure smooth programme operations and coordinated care.
• Provide support in caregiver follow-ups and home visits where required, under supervision.
• Participate in supervision, training, and team meetings for professional development.

Qualification

• Minimum Diploma in Social Work, Counselling, Gerontology or related social science fields
• Preferably 1–3 years of relevant experience in social service, community work, or healthcare settings.
• Possess good interpersonal and communication skills; with ability to engage caregivers and volunteers from diverse backgrounds
• Organised and detail-oriented, with ability to manage administrative and coordination tasks effectively.
• Passionate in caregiver support and community-based services.

The Care Guides Programme is a 2-year programme funded by NCSS. It aims to strengthen peer-based support for caregivers by training experienced caregivers as Care Guides to journey alongside new or stressed caregivers. It is a value-added initiative developed by HNF, leveraging on existing HNF & consortium partnerships' home care service presence & digital outreach through HNF's digital caregiver-support platform.
