We are looking for an experienced and detail-oriented Marine HR Executive for one of our global shipping clients. The role focuses on crew management, recruitment, and compliance for vessel operations. The position serves as the central point of contact (PIC) for all Marine HR matters pertaining to the assigned vessels. The ideal candidate should have at least 3 years of relevant experience in Marine HR, either onboard ships or ashore. He/she should possess strong communication skills, the ability to coordinate effectively with various departments, and a commitment to maintaining high standards in crew readiness and training.

Responsibilities:

Recruitment and Crew Management:

• Monthly review crew requirements and provide updates to Marine HR Managers on recruitment needs. Maintain regular communication with manning offices and promptly respond to recruitment requirements monthly.
• Support the recruitment process by screening and shortlisting crew applications received from manning offices.

Documentation / Process Compliance and Enhancement:

• Maintain an efficient documentation system for all new hires and rejoinders, including qualifications, certifications, and experience, for reference, planning, and audit purposes.
• Assist in ensuring accuracy in ITF renewals and documentation. Support the Marine HR Manager in handling crew management matters related to CBA and interactions with crew unions.

• Contribute to the planning and management of career and competency development for our pool of ship staff to establish an 'Employer of Choice' reputation in the industry.
• Review and follow up on comments provided by Superintendents and Port Captains for necessary action.
• Ensure timely responses to shipboard queries for VMT ranks and promotion-related inquiries for 2/O and 2A/E, consulting with the Marine HR Manager as required.
• Assis if assigned in training and guiding other Executives in Marine HR team to perform their duties and responsibilities effectively.

Perform any other tasks assigned by the Management from time to time.

Qualifications:

• Bachelor's degree/ Diploma in any discipline.
• At least 3 years' experience with Marine HR related matters onboard ships or ashore.
• Good knowledge of Fleet Marine HR processes and operations.
• Good Communication skills - Fluent in written and spoken English.
• Good appreciation and dealing of cultural diversity.
• Adequate IT knowledge, e.g. Microsoft Word, Excel, Email.

Role Summary

The HR Executive supports the day-to-day HR operations for KWE-APLL Technology Services. Reporting to the HR Manager, this role focuses on backend HR administration, automation, and process improvement, ensuring smooth employee lifecycle management, accurate data handling, work pass administration, and payroll coordination.

Key Responsibilities

HR Operations & Employee Lifecycle

• Execute end-to-end onboarding and offboarding processes, including documentation, system updates, and coordination with internal stakeholders
• Maintain accurate and up-to-date employee records, HR databases, and digital filing systems
• Prepare HR documentation such as employment contracts, confirmation letters, and HR correspondence

Work Pass & Statutory Administration

• Handle work pass applications, renewals, cancellations, and related submissions with government authorities
• Ensure compliance with employment regulations and statutory requirements

Payroll & Vendor Coordination

• Liaise with external payroll vendors to support monthly payroll processing
• Compile and submit accurate payroll inputs including new hires, resignations, leave, claims, and variable payments
• Follow up on payroll discrepancies and address payroll-related employee queries

HR Automation & Process Improvement

• Support HR automation initiatives such as digital forms, workflow improvements, and HR system enhancements
• Identify and propose process improvements to streamline HR operations and reduce manual work
• Support HR data entry, reporting, and basic HR analytics

General HR Support

• Provide operational and administrative support to the HR Manager
• Respond to employee HR queries in a timely and professional manner

Requirements

• Diploma or Degree in Human Resources, Business Administration, or related field
• Minimum 2–4 years of HR operations / HR administration experience
• Experience in work pass administration and payroll coordination preferred
• Strong attention to detail and process-driven mindset
• Comfortable working with HR systems, spreadsheets, and automation tools
• Able to work effectively in a fast-paced, evolving environment
