Location: Singapore (Full Remote / Work-from-Home / Office-Flex)
Salary: S$3,000 – S$4,500 per month
Work Arrangement: 100% Flexible (Primarily WFH with occasional on-site attendance)
The Opportunity
We are seeking a sophisticated, highly organized, and proactive Executive Assistant to support two Directors in our company. This role is designed for a professional who excels at managing the intersection of a busy professional life and a complex household schedule.
This position offers the rare combination of total location flexibility and a high-trust environment where your organizational skills will directly impact the daily efficiency of the Directors' family life.
The Requirements
Education: A University or Polytechnic Degree is a mandatory requirement.
Experience: Minimum 2–3 years of relevant experience in a Personal Assistant (PA), Executive Assistant (EA), or Private Lifestyle Management role.
Attributes: You must be task-oriented, possess high emotional intelligence, and demonstrate absolute integrity. Discretion is paramount.
Multitasking: Proven ability to juggle multiple life-management roles simultaneously while maintaining a calm, professional demeanor.
Communication: Native or near-native English proficiency is required to liaise effectively with enrichment centers, premium vendors, and household staff.
Key Responsibilities
1. Lifestyle &Travel Management
Dining & Leisure: Proactively research and secure reservations at high-demand restaurants and handle comprehensive weekend leisure planning.
Travel Admin: Manage the "Admin of Travel," including flight/hotel research, visa applications, arrival card submissions, and the research for holiday itenararies.
Logistics: Arrange seamless ground transportation to-and-from the airport and other travel hubs as required.
Procurement: Oversee the sourcing, ordering, and delivery of household requirements, curated hampers, and holiday gifts.
2. Household & Family Coordination
Household Maintenance: Serve as the primary point of contact for all household vendors and contractors. You are responsible for the end-to-end follow-up of repairs and routine maintenance work.
Daily Logistics: Manage the dispatch and schedules for domestic helpers and drivers to ensure children’s school runs and enrichment transitions are seamless.
Communication Bridge: Convey vital school updates and schedule changes to household staff daily to ensure the household is prepared for the following day.
Education Admin & Representation: Act as the liaison for schools and enrichment centers (enrollments, scheduling, make-up classes). Note: In the event of a scheduling conflict, you may be required to attend school or enrichment events as a proxy for the Director.
3. Financial Management & Reconciliation
Expense Management: Oversight of household-related expenditures and fund disbursements.
Reconciliation: Maintain meticulous records of all spending, ensuring monthly expense reports and reconciliations are submitted accurately and on time.
Work Culture & Hours
Flexibility: This is a 100% flexible working arrangement. Candidate may work-from-home (WFH) or work-from-office (WFO). You are judged on output and reliability rather than desk time. You are also welcome to use the company office at your preference.
Responsiveness: While work generally follows standard office hours, the nature of a Private EA role requires a level of responsiveness via mobile for urgent adjustments or evening/weekend coordination.
Physical Presence: Occasional site visits (e.g., for house maintenance or errands) are required. No personal vehicle is needed; all work-related travel (Grab/Taxi) is fully expensible.
