Role Purpose

To act as the Managing Director’s right hand — ensuring smooth coordination across departments, maintaining structure in meetings, managing communication and priorities, and progressively learning the company’s operational and sales rhythm. The PA supports leadership execution and helps ensure company tempo, alignment, and accountability.

Key Responsibilities

1. Executive & Administrative Support

• Manage MD's schedule, priorities, and daily to-do list, ensuring important matters are followed through.
• Prepare and organize meeting minutes, track follow-ups, and ensure accountability from each department.
• Handle confidential correspondence, documents, and HR matters with discretion.
• Maintain structure and flow for key weekly meetings (Sales, Ops, Factory, Installers).
• Serve as a communication bridge between Ken and department heads.

2. Sales & Admin Coordination

• Learn Sales Coordination processes: quotation tracking, follow-up, and designer communication flow.
• Support sales reports, appointment calendars, and CRM updates.
• Help ensure showroom appointments and client experiences are well-organized.
• Consolidate weekly sales data, team activity logs, and performance dashboards.

3. Company Rhythm & Leadership Support

• Assist in maintaining the company’s weekly rhythm: Monday meetings, updates, and communication summaries.
• Draft internal messages, announcements, or notes in Ken’s tone and style when required.
• Support preparation for leadership reviews, incentives, and planning cycles (Jan & Jul).
• Record, summarize, and ensure implementation of decisions from leadership meetings.

4. Learning & Growth

• Undergo a structured learning path to understand:
  Everyday Curtains’ sales, operations, and factory systems.
  Key product knowledge.
  Company culture, tone, and leadership philosophy.
• Gradually build capability to deputize MD in coordinating departments when he is away.

• Manage and prioritise the Centre Co-Director’s calendar, meetings, and travel arrangements by assessing competing demands, stakeholder priorities, and operational requirements.
• Coordinate and oversee secretariat functions for committees and meetings, including agenda setting, preparation of briefing materials, minute-taking, action tracking, and follow-up to ensure accountability.
• Plan and coordinate Centre events, workshops, and strategic engagements, ensuring effective execution, stakeholder participation, and operational readiness.
• Prepare and consolidate management reports, presentations, and correspondence to support informed decision-making and compliance reporting.
• Act as a key liaison between the Research Centre and internal/external stakeholders, facilitating communication, issue resolution, and effective information flow.
• Manage confidential and sensitive information with discretion, ensuring proper governance, accuracy, and information integrity.
• Monitor and coordinate financial and administrative processes, including budget tracking, procurement, claims, and asset management, ensuring compliance with institutional policies.
• Identify and implement process improvements to enhance operational efficiency, service quality, and governance effectiveness.

Requirements:

• A Bachelor’s degree from a recognized institution
• At least 3 - 4 years of experience in a similar role, ideally within a fast-paced, large and complex organisation

• Support administrative matters relating to investments and assets, including liaison with private bankers

7. Tax & Records Administration

• Prepare and submit personal tax filings through the IRAS myTax Portal within statutory deadlines
• Compile and maintain financial records, including IR8A statements, rental income details, and investment documentation
• Identify applicable tax reliefs, rebates, and optimization opportunities
• Act as the primary contact for IRAS correspondence and assessment reviews
• Maintain accurate, secure, and confidential financial records

8. Confidentiality & Risk Management

• Handle sensitive personal and business information with strict confidentiality
• Maintain professionalism, privacy, and discretion at all times
• Respond effectively to urgent matters and changing priorities

Requirements / Qualifications

• Minimum 3–5 years of experience supporting senior executives or high-net-worth individuals
• Experience in private households, family offices, or luxury service environments preferred
• Proficient in Microsoft Office, scheduling systems, and communication tools
