Key Responsibilities
Duties include, but are not limited to, the following:
Executive Assistant Support
• Serve as a primary administrative and coordination partner to the Sector President and Vice President, Finance, managing complex calendars and scheduling to optimise executive time and priorities.
• Manage end-to-end business travel arrangements for the Sector President and VP Finance, including travel itineraries, visa applications, accommodations, and logistics.
• Prepare, review, and submit complete and accurate expense claims in accordance with company policies and processes.
• Plan, coordinate, and support business meetings, workshops, and executive activities, including venue and logistics management, agenda preparation, pre-reading compilation, minute-taking, and follow-up actions.
• Organise and support large-scale business events, including conferences, townhalls, and leadership offsites.
• Gather, compile, verify, and analyse information and materials required for executive use, including memos, correspondence, reports, presentations, speeches, and announcements.
• Support the Sector President and VP Finance in the preparation, consolidation, and timely submission of reports and materials for leadership and governance forums.
• Act as a trusted liaison between executives and internal/external stakeholders, handling sensitive information with discretion and professionalism.
• Provide backup support to other Executive Assistants as required, including coverage during leave periods.
Qualifications and Experience
• Bachelor’s degree or equivalent qualification preferred.
• Minimum 5 years of relevant administrative experience, including at least 2 years in an Executive Assistant or Executive Secretary role supporting senior leaders.
• Experience supporting multiple senior stakeholders and managing competing priorities in a fast-paced environment.
• Demonstrated experience in event management, including planning and executing senior-level meetings, workshops, town halls, or large-scale business events.
• Excellent command of spoken and written English, with strong communication and interpersonal skills.
• Strong organisational, problem-solving, and stakeholder management capabilities; able to operate effectively in a cross-functional and multicultural environment.
• Proficient in Microsoft Office and Windows applications, with the ability to prepare well-structured executive-level documents and presentations.
• Self-motivated, resilient, and able to respond positively to changing priorities and challenges.
• Willingness to travel as required (up to 20%).
