JOB DESCRIPTION

Responsible

• Source and secure short-term tenants for promotional spaces, push carts, storage space and common areas.
• Attend to enquiries and manage bookings for advertising panels and promotional spaces.
• Prepare proposals, booking forms, and related leasing documentation in accordance with SOP.
• Coordinate event setup and dismantling in compliance with approved demarcation plans.

Role Summary :

Responsible for overseeing office operations, facilities, and HR operational functions to ensure a smooth, efficient, and well-managed workplace. This role includes office administration, vendor management, cost control, and HR operational support while working closely with different teams in a fast-paced and collaborative environment. Candidates who are proactive, adaptable, and eager to grow across both administration and HR functions are encouraged to apply.

Office Operations & Facilities:

• Manage overall office operations and administrative functions
• Plan and manage office relocation, seating arrangements, space planning, and layout optimization to support efficient workspace utilization
• Oversee all office-related agreements, including tenancy agreements, utilities agreements (electricity, water, internet, etc.), maintenance contracts, and other office service agreements
• Coordinate with landlords, utility providers, and service vendors for renewals, compliance, and issue resolution
• Manage office facilities, maintenance, repairs, and workplace safety compliance
• Handle office supplies, equipment, and vendor management (cleaning, security, pantry, IT support, etc.)
• Monitor and control office operating budget and expenses

HR Operations:

• Support HR operational processes including onboarding and offboarding
• Manage employee records, documentation, and HR filing systems
• Coordinate HR administration such as letters, confirmations, and internal HR updates
• Assist in attendance tracking, leave administration, and payroll input support (if applicable)
• Ensure HR policies and procedures are properly implemented in daily operations
• Support employee engagement activities and internal communications

General:

• Ensure compliance with company policies and regulatory requirements
• Drive continuous improvement in office and HR operational efficiency
• Act as key liaison between management, employees, and external service providers

• Proven experience in office operations and HR administration (senior level)
• Strong experience in managing office agreements, utilities, and vendor contracts
• Good understanding of HR operations and employment practices
• Strong organizational, leadership, and multitasking skills
• Financial awareness for budgeting and cost control
• Strong communication and stakeholder management skills

Role Purpose

The Senior Executive – Air Partners supports the management and execution of airline partnerships to ensure effective implementation of commercial agreements, reliable capacity access, and strong partner performance. The role focuses on coordination, contract administration, performance tracking, and cross-functional alignment.

Key Responsibilities

Air Partner Coordination

• Support day-to-day coordination with airline partners on commercial and operational matters.
• Act as a primary contact for routine partner queries, escalations, and follow-ups.
• Coordinate capacity confirmations, schedule changes, and operational alignment with partners.

• Support preparation, review, and administration of air partner agreements including interline, SPA, block space, and capacity contracts.

Performance Monitoring & Reporting

• Monitor partner performance against contractual terms (capacity, rates, SLAs, utilization).
• Identify deviations, risks, or non-compliance and escalate with supporting analysis.
• Prepare regular partner performance reports, dashboards, and summaries for management.

Stakeholder & Cross-Functional Support

• Work closely with Pricing, Sales, Revenue Management, Operations, Finance, and Legal teams to ensure proper implementation of partner agreements.
• Support alignment between partner terms and pricing, sales, and operational execution.
• Assist in onboarding new partners and implementing contract changes.

• Support process improvements, standardization, and system enhancements related to air partner management.

Market & Commercial Support

• Support market and competitor monitoring related to partner capacity and cooperation.
• Assist in preparing commercial analyses, presentations, and business cases for management review.
• Provide administrative and analytical support for partner meetings and reviews.

Qualifications & Experience

• Bachelor’s degree in Business, Aviation Management, Supply Chain, or a related discipline.
• 2–4 years of experience in airline, air cargo, commercial, partnerships, or contract-related roles.
• Prior exposure to airline partnerships or commercial operations is an advantage.

Skills & Competencies

• Strong coordination and communication skills.
• Good attention to detail and documentation discipline.
• Basic analytical and commercial understanding.
• Ability to manage multiple tasks and deadlines.
• Proficiency in MS Excel and PowerPoint; exposure to airline systems is a plus.
