Role Overview

The Operations Executive Coordinator is responsible for supporting daily site operations across cleaning services. The role ensures smooth manpower deployment, accurate attendance tracking, timely coordination with site supervisors, and proper documentation for audits and compliance. The position plays a key role in maintaining service standards and supporting operational efficiency across assigned sites.

Key Responsibilities

• Provide administrative and operational support for daily site operations
• Coordinate manpower scheduling and deployment across sites
• Track and maintain attendance records accurately
• Liaise with site supervisors to ensure smooth service execution
• Handle service requests and operational issues promptly
• Support documentation for audits, compliance, and reporting
• Assist in ensuring service delivery meets contractual requirements
• Participate in site visits, meetings, and operational discussions

Experience

• Minimum 3 years of operations experience in the cleaning industry
• Experience in supervisory or site coordination roles preferred

Tools / Technical Knowledge

• Understanding of workplace safety (WSH)
• Knowledge of service contracts and compliance requirements
• Bizsafe Level 2(RMIP), Work-at-Height (WAH) certification and WSQ Customer Service / Customer Management certification (Essential)
• Workplace Safety & Health (WSH) supervisory certification (Preferred)
• Boom lift and scissor lift certification (preferred)

Must possess a valid Class 3 driving license for site visits and operational travel

Your Role

• Supervise the work of sub-contractors and work closely with other site operations staff to meet the project schedule
• To work and coordinate with design/construction teams for all M&E installation and system requirement matters
• To attend E&M Co-ordination Meetings
• Adhere to construction procedures and safe work practices and ensure that work is executed within an acceptable standard of workmanship to meet the stringent requirements conducted during site tests and inspections

The Requirements

• Candidate must possess at least Degree in Mechanical Engineering/Electrical Engineering and its equivalent
• At least min 5 years of working experience in the Construction Industry is preferred
• Excellent coordination and communication skills gained through experience in the supervision of field staff
• Be assertive, independent, and proactive with a positive attitude
• Able to start work on short notice is preferred

Key Responsibilities

Design Coordination

• Review and coordinate architectural drawings, specifications, and shop drawings

• Resolve design clashes with MEP, structural, and other disciplines

• Liaise with consultants, architects, and project teams to clarify design intent

Project Management Support

• Monitor architectural work progress and ensure adherence to project timelines
• Assist in the preparation of method statements, schedules, and technical reports
• Coordinate site inspections and ensure quality control of architectural works

Documentation & Compliance

• Maintain accurate records of drawings, revisions, and approvals
• Ensure compliance with local building codes, regulations, and industry standards
• Support preparation of as-built drawings and handover documentation

Team Support & Leadership

• Mentor junior architectural coordinators and assist in task allocation
• Attend coordination meetings and provide technical input
• Support value engineering and design optimization initiatives

Qualifications & Experience

• Bachelor’s degree or Diploma in Architecture or related field
• 5–10 years of experience in construction projects, preferably in building works
• Strong knowledge of architectural drawings, specifications, and construction methods
