• Manage Microsoft 365 environment, including setup, configuration, administration, and ongoing maintenance.
• Support employee onboarding and offboarding activities by coordinating with HR on account creation, access provisioning, equipment preparation, email setup, and account deactivation.

SharePoint, Intranet & Collaboration Platforms

• Manage and maintain the company's SharePoint environment, corporate intranet, shared folders, and departmental collaboration sites.

Network & Infrastructure Administration

• Monitor, maintain, and troubleshoot office network infrastructure, including switches, routers, firewalls, wireless access points, VPN solutions, and server room equipment.
• Perform regular network health checks, identify performance bottlenecks, and ensure network availability, stability, and security.

Vendor Management & IT Procurement

• Liaise with external vendors, service providers, and telecommunications partners (e.g., Singtel) for IT infrastructure, internet connectivity, maintenance services, and project implementations.
• Coordinate procurement, deployment, and lifecycle management of laptops, IT hardware, software licenses,

IT Projects

• Participate in IT infrastructure projects, system upgrades, and office expansion or relocation initiatives.
• Coordinate relocation of IT equipment, network infrastructure, server room facilities, internet services, and end-user devices.

Systems Administration & Process Improvement

• Maintain the daily operation of business systems, including email, file sharing, collaboration tools, and authentication platforms.
• Develop, review, and maintain operational procedures, technical documentation, user guides, and disaster recovery plans.

Stakeholder Management & Reporting

Le Département Support et Services aux Parents est un département dédié à l’ensemble des services non pédagogiques proposés aux familles. 

MISSION

Le/la spécialiste support et services aux parents de l’IFS a pour mission principale de centraliser et de traiter les questions et demandes des parents de l’IFS concernant l’ensemble des services non pédagogiques. Il/elle est chargé(e) de garantir un niveau élevé de service aux parents et aux familles en centralisant, coordonnant et répondant aux demandes d’information, aux requêtes et aux réclamations liées aux services de l’établissement.

Il/elle contribue également au bon fonctionnement du transport et de la restauration scolaire, et collabore étroitement avec les départements internes ainsi qu’avec les prestataires de services externes afin d’améliorer la satisfaction globale des parents.

RESPONSABILITES

• Est l’interlocuteur(trice) principal(e) des parents pour toutes les questions relatives aux services non pédagogiques. 

• Centralise et gère les feedbacks, questions et réclamations des parents de l’IFS.

• Assure le suivi administratif de toutes les demandes reçues (FAQ, statistiques, etc…).

• Coordonne les réponses en collaboration avec les services concernés et veille à la résolution rapide des problèmes.

• Assure le suivi de tous les incidents de discipline dans les bus et garantit une présence quotidienne dans la bus bay (matin et soir).

• Participe aux réunions hebdomadaires transport et anime la partie sur la discipline.

• Coordonne les commandes de bus et supervise le bon déroulement des différentes étapes des sorties scolaires des élèves.

• Assure la coordination avec le prestataire de restauration scolaire afin de veiller au bon fonctionnement quotidien du service et à la gestion efficace des incidents. 

• Assure le suivi des questions et incidents cantine et veille à leur traitement approprié.

• Coordonne la gestion des oublis de lunchbox en coordination avec le département Finance.

• Apporte un soutien aux activités et projets du département selon les besoins. 

• Réalise toute autre mission nécessaire pour répondre à l’évolution des besoins opérationnels du département. 

COMPETENCES ET FORMATION 

• Bac + 2 minimum 

• Expérience dans les services clients, les relations avec les parents, l’administration ou un poste similaire 

• Bonnes compétences relationnelles, de communication et de service client 

• Forte capacité de diplomatie, de résolution de problèmes et de gestion des conflits 

• Aptitude au travail en équipe

• Capacité d’être sur le terrain autant que nécessaire pour vérifier le bon déroulement des opérations.

The Parent Support and Services Department is a department dedicated to all non-pedagogical services offered to families. 

MISSION

The main mission of the IFS Parent Support and Services Specialist is to centralize and respond to the questions and requests of IFS parents for all non-pedagogical services. He/she is responsible for ensuring a high level of service to parents/families by centralizing, coordinating, and resolving inquiries, requests, and concerns related to school services. He/she also supports the efficient operation of transportation and canteen services and collaborates closely with internal departments and external service providers to enhance the overall parent experience.

RESPONSIBILITIES

• Act as the main point of contact for parents regarding non-academic services.

• Centralize and manage feedback, questions and complaints from IFS parents.

• Ensure the administrative follow-up of all requests received (FAQ, statistics, etc.).

• Receive and process responses in consultation with the relevant departments.

• Monitor and follow-up on all bus discipline incidents and maintain a daily presence at the bus bay during morning and afternoon operations.

• Take part in weekly transport meetings and lead discussions related to student discipline.

• Coordinate bus bookings and oversee the effective execution of the different stages of student field trips.

• Liaise with the canteen service provider to ensure smooth daily operations and effective issue resolution. 

• Monitor canteen-related issues and incidents and ensure appropriate follow-up and resolution.

• Coordinate the management of forgotten lunchboxes in collaboration with the Finance Department.

• Provide support for all department activities as needed.

• Perform additional duties as required to support the evolving needs of the department.

SKILLS AND TRAINING :

- Minimum of 2 years of higher education 

- Experience in customer services, parent relations, administration or a similar role.

- Good interpersonal, communications and customer service skills.

- Strong diplomacy, problem-solving, and conflict-resolution abilities. 

- Ability to work in a team

- Ability to be on the ground as much as needed to ensure smooth operations.

- Good organization and sense of priorities

About the team:

This role sits within the Customer Service team and supports the MariBank customer servicing operations. The role focuses on improving banking customer experience, customer service agent productivity, and operational efficiency across the customer service function.

Job Description:

• Responsible for the management of various Customer Service support functions such as system management, data reporting, and performance monitoring. These functions support the servicing of banking-related enquiries such as account servicing, payments, transfers, and card-related requests
• Drive the planning and implementation of new projects and initiatives to achieve continuous improvement in ops productivity, customer experience, and risk management
• Key product owner for all systems used by the Customer Service team (including ticketing systems, contact centre tools, and chatbot solutions that support the servicing of banking customers)
• Lead the rollout and enhancement of chatbot and manage a team of chatbot agents in ongoing iteration
• Drive system enhancements from end-to-end to improve user experience and efficiency
• Manage a team of support agents in their daily BAU work
• Leverage data analytics to generate actionable insights for the Customer Service team to improve operational performance and customer experience
• Monitor and analyse key performance metrics to ensure achievement of KPIs and business objectives for the Customer Service team
• Collaborate closely with Customer Service Operations, Product, and Technical teams to understand customer pain points, improve service processes, and enhance the overall customer journey
