Responsibilities:
The Academy Operations & Programme Manager plays a key role in supporting the planning, coordination, and delivery of training and capability development programmes under the Academy. The role ensures the smooth end-to-end operations of learning initiatives, from programme promotion and registration to delivery, evaluation, and continuous improvement.
Beyond programme administration, the role contributes to strengthening the Academy’s operational capabilities by supporting marketing communications, analysing training data to generate insights, and improving operational processes to enhance efficiency and participant experience. The incumbent works closely with internal stakeholders, trainers, and participants to ensure high-quality programme delivery while maintaining robust operational systems and processes for the Academy.
1. Programme Operations & Delivery
Support the end-to-end operational planning and delivery of training programmes to ensure smooth and professional programme execution.
Pre-Training Preparation
· Set up and manage course registration platforms (e.g., FormSG, Workday, STEP) and ensure accurate participant records.
· Manage the shared mailbox, including responding to enquiries, managing RSVPs, and sending programme reminders.
· Coordinate programme logistics, including:
o Booking training venues and facilities
o Preparing job sheets and logistical arrangements
o Setting up training rooms and equipment
o Arranging refreshments for programmes where required
· Prepare programme administration materials such as opening slides, administrative briefings, and attendance sheets.
During Training
· Provide onsite programme support to ensure smooth delivery, including:
o Managing participant registration and attendance
o Administering programme evaluations
o Coordinating refreshments and logistics
o Supporting trainers and participants during sessions
o Taking photographs and documenting programme highlights
o Troubleshoot operational or logistical issues that arise during programme delivery.
Post-Training Administration
· Manage post-training communications, including sending follow-up emails, disseminating certificates, and responding to requests for training materials.
· Process absenteeism cases by reviewing valid reasons and arranging for make- up sessions, where applicable.
2. Marketing & Programme Promotion
Support outreach and communication efforts to promote training programmes and engage target audiences.
· Design and produce marketing collaterals for training programmes, including EDMs, programme flyers, and digital promotional materials.
· Work with programme leads to communicate programme value propositions clearly and effectively.
· Ensure programme communications are professional, clear, and aligned with organisational branding guidelines.
3. Training Data Management & Insights
Support programme planning and capability development efforts through analysis of training data and feedback.
· Compile and tabulate programme evaluation data and participant feedback.
· Analyse training data to identify trends, learning needs, and opportunities for programme improvement.
· Prepare standard programme evaluation reports and dashboards for internal review.
· Generate insights that inform the design, improvement, and curation of future training programmes.
4. Operational Systems & Process Improvement
Contribute to the strengthening of operational infrastructure by improving workflows and administrative processes.
· Review and streamline operational and administrative processes to enhance efficiency and service quality.
· Identify opportunities to improve programme management workflows, including the use of digital tools and automation.
· Maintain standard operating procedures and operational documentation for programme delivery.
5. Knowledge & Resource Management
Support the effective management of institutional knowledge and programme resources.
· Maintain and organise the repository of training materials, programme resources, and operational documentation.
· Ensure programme records and materials are properly archived and accessible.
· Provide general administrative and operational support to the Academy as required.
