Responsibilities

Direct Responsibilities

1.Administration, operation, and hardening of Corporate / Resources / Isolation AD forests.

2. Management of Domain Controllers (Windows Server 2019/2022), GPO, DNS, Sites &Services, replication.

3. Management of Entra ID, IAM, and AD Connect.

4.Participation in Group projects: AD consolidation, DNS redesign, tiering, and securing sensitive accounts.

5. Automation using PowerShell, industrialization of operations (audits, provisioning, remediation).

6. Contribution to the AD Disaster Recovery Plan (detection, restoration, technical communication).

7. Monitoring& auditing: Change Auditor, EDR, log collection.

8.Participation in transversal projects: M&A, application integration, onboarding/offboarding, security compliance.

9.Documentation (DAT/DEX), contribution to AD governance.

Contributing Responsibilities

1. Ensure that the practices comply with local and international regulations and industry standards.

2. Prepare and maintain documentation for internal or external audits

3. Contribute to the Permanent Control framework for implementation of policies and procedures in day-to-day business activities, such as Control Plans

4. Contribute to the improvement of prevention and detection capabilities for mitigation of IT & Security risks.

Technical& Behavioral Competencies

Technical

▪ Active Directory Domain Services, DNS, GPO, PKI, ADFS.

▪ Entra ID /Azure AD Connect / Identity Governance.

▪ Advanced PowerShell (audits, automated scripts, remediation).

▪ Security concepts: RBAC, Zero Trust, MFA, AD Tiering.

▪ Tools: Sempris ADFR/Forest Druid, Ranger AD, Ping Castle, Microsoft 365, Defender, GraphAPI.

▪ Knowledge of AD DRP/BCP appreciated.

Mission of the Role

Ensure smooth executive office operations, strengthen communication across departments, and support leadership as we enter a landmark cultural moment and prepare for our signature Movie Screening Event.

Key Responsibilities

1. Executive Support & Office Administration

• Manage day-to-day operations of the executive office with discretion and professionalism.

• Provide high-level support to founders and senior leaders (calendar, travel, documents).

• Handle highly confidential materials and sensitive communications.

• Maintain organized administrative systems, workflows, and documentation.

2. Communication & Coordination

• Serve as the primary liaison between executives, internal teams, partners, and external collaborators.

• Draft, refine, and manage executive communications, announcements, and official documents.

• Ensure timely and accurate flow of information throughout the organization.

3. Meeting & Event Management

• Organize board meetings, management meetings, executive reviews, and cross-team sessions.

• Prepare agendas, meeting decks, briefing docs, minutes, and action lists.

• Support planning and coordination for the F1-themed Movie Screening Event and related programming.

4. Workflow & Process Management

• Develop, refine, and oversee administrative protocols and SOPs.

• Manage documentation systems and ensure operational efficiency across teams.

• Identify process gaps and propose improvements to streamline executive operations.

5. Strategic Support to Leadership

• Assist with priority tracking, strategic projects, and organizational alignment.

• Monitor deadlines, cross-functional commitments, and leadership initiatives.

• Provide essential operational support during major campaigns or event launches.

Required Skills & Qualifications

• Diploma/Degree in Business Administration, Management, Communications, or related fields.

• 5+ years of experience as a senior secretary, executive assistant, or administrative manager.

• Excellent verbal and written communication skills.

• Strong organization, multitasking, and prioritization capabilities.

• High emotional intelligence and ability to handle sensitive matters discreetly.

• Proficiency with productivity platforms (Google Workspace, Microsoft Office).

• Able to perform under pressure and navigate shifting priorities.
