Key Responsibilities
Office Administration & Operations
Provide dedicated Personal Assistant (PA) support to the CEO, including managing calendar commitments, scheduling complex meetings, and handling personal administrative matters.
Manage daily front-desk operations, including handling phone calls, sorting incoming/outgoing mail, and couriers.
Maintain office tidiness and manage inventory for office utilities, stationery, and pantry supplies.
Track, manage, and coordinate the timely renewal of all corporate, operational, and regulatory licenses via GoBusiness and related portals.
Specifically oversee compliance administration and tracking for National Environment Agency (NEA) licenses, including General Waste Disposal Facility (GWDF) and General Waste Collector (GWC) licenses.
Assist in coordinating internal and external audits, including preparing administrative documentation, maintaining compliance logs, and liaising with auditors.
Coordinate company-wide fire drills and emergency evacuation exercises in compliance with building management and local safety regulations.
Conduct regular inspections of workplace fire extinguishers and first-aid kits, ensuring they are serviced, valid, and up to code.
Coordinate with building management and external vendors for office maintenance, IT support, and equipment servicing.
Finance & Administrative Support
Systematically collect, compile, and track all incoming company invoices and billing statements from various departments and vendors.
Verify invoice details and systematically pass them to the CEO for review and authorized signature in a timely manner.
Organize signed financial documentation and maintain clear records for subsequent processing or submission to the accounts team/external corporate accountant.
HR & IT Support
Manage the IT onboarding process, including company email creation, configuring basic access, and maintaining the corporate user directory.
Oversee IT asset management, including laptop assignment, hardware tracking, inventory logging, and collecting equipment during employee offboarding.
Coordinate company events, team-building activities, and internal meetings.
Job Requirements
Qualifications: Diploma in Business Administration, Human Resources, or a related discipline.
Experience: Minimum 1–3 years of experience in an administrative, secretarial, or office management role in Singapore. Prior experience handling basic financial administration (such as invoice coordination) and providing personal assistant support to C-suite executives is highly advantageous.
Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and tech-savvy enough to navigate email/calendar administration consoles (e.g., Google Workspace/Microsoft 365) and government transactional systems (GoBusiness, NEA ePortal).
Attributes:
Exceptional organizational and time-management skills with a sharp eye for accuracy when handling financial paperwork.
Ability to maintain strict confidentiality and exercise impeccable discretion when dealing with executive matters.
Excellent interpersonal and communication skills (written and spoken English).
Ability to work independently with minimal supervision and adapt to changing schedules.

Direct Prospecting: Conduct active cold calling and outreach to identify and secure new business opportunities and high-value vendor partnerships.
Overseas Venturing: Lead initiatives to explore and enter new regional markets to source materials and build a global client base.
Client Retention: Develop and maintain strong, long-term relationships with newly acquired partners through effective communication and service excellence.
Negotiation: Lead contract negotiations to secure favorable terms while maintaining supply chain transparency and ethical standards.
Market Intelligence: Monitor global trends in waste management, recycling, and manufacturing to stay ahead of industry shifts.
Regulatory Compliance & Governance
NEA Standards: Ensure all procurement and disposal activities strictly adhere to National Environment Agency (NEA) regulations.
2. Candidate Requirements
Citizenship:Singaporean Citizens only.
Communication: Exceptional verbal and written English skills. Proficiency in a second language (e.g., Mandarin) is highly valued for regional negotiations and professional reporting.
Initiative & Adaptability: A self-starter with a proven ability to learn the technical nuances of a new industry (e.g., e-waste, manufacturing, or circular economy) quickly and independently.
3. Education & Certifications
Academic Qualification: Diploma or Degree in Supply Chain Management, Business Administration, or a related technical field.
Professional Certification (Required/Preferred):
SIPMM: Certification in Procurement or Purchasing Management from the Singapore Institute of Purchasing and Materials Management is highly preferred.
