Job Summary
Lead and manage the administration and financial operations of strata-titled properties, ensuring compliance with regulations and effective upkeep of property assets while supporting the Corporation and its stakeholders.
Responsibilities
- Maintain overall office administration to ensure proper orderliness and operational efficiency
- Advise the Corporation on all matters related to its affairs and property management
- Implement instructions, Bylaws, and laws under the Building Maintenance and Strata Management Act (BMSMA)
- Convene, attend, and record minutes for Council, Sub-committee, general, and extraordinary meetings of the Corporation
- Manage inquiries, complaints, and correspondence related to the Corporation, its property, and subsidiary proprietors (owners/tenants)
- Engage contractors, solicitors, auditors, surveyors, architects, engineers, and other professionals with prior approval to maintain property upkeep
- Act on behalf of the Corporation regarding notices or orders from public or statutory authorities concerning the property
- Collect and recover monies due to the Corporation, initiating legal proceedings as approved to ensure timely payments
- Ensure timely payments to contractors and for statutory charges, licenses, professional fees, rent, insurance, and taxes incurred by the Corporation
- Maintain accurate financial records of monies received and expended on behalf of the Corporation
- Prepare and submit annual budgets to determine expenses and recommend contribution rates to management and sinking funds for property upkeep
- Submit monthly financial reports to the Corporation detailing its financial status
- Monitor the MCST’s Fixed Deposits (FD), advising on renewals with banks to maximize returns
- Manage the requisition process for quotations with proper cost control measures
- Request, negotiate, appoint, and award contracts with Corporation approval, ensuring cost-effectiveness and compliance
- Review service contracts for cost-effectiveness and advise the Council on necessary changes
- Liaise with the Trust Accounts department to ensure payments to contractors for authorized works
- Perform other duties as assigned by the Property Manager or Director
