The HR Payroll/Admin’s role is to provide administrative support for the office and site.

Payroll:

• Check timecard timing based on GPS records.
• Prepare driver’s payroll based on GPS records.
• Check Payroll colleague’s work.
• Clarify with site staff on incomplete timecards.
• Check workers timecards for discrepancies.
• Ensure approvals for additions and deductions are given before processing.
  

Human Resource:

• Liaising with staff on employment matters.
• Update of salaries after appraisal cycle (for certain job roles) or when there is change in employment terms.
• Preparing employment contracts using approved templates; ensuring scanned soft copies and proper filing.
• Update of employment contract templates when required and ensure to compliance with regulations.
• Checking and approving invoices related to workers such as dormitory, medical etc. and handing to accounts for payment.
• Preparing documents for yearly WICA, FWMI quotes.
• Handling WICA claims process, liaising with injured person etc.
• Leave administration; Foreign worker levy waiver tracking, government paid leave, carry over of annual leave etc.
• Assist in ISO audit by providing necessary documents.
• Housekeeping of HR SharePoint folders to ensure files are updated and organised.
• In-charge of liaising with dormitories for renewal, new bookings, check-in and outs etc.
• Cover other HR staff when they are on leave.
• Assist on termination process of foreign employee (item returned check, repatriation flight ticket purchase etc.
• Monitoring the PCP list (for WP and S Pass) and managing the medical screening appointment bookings (for WP renewal).
  

Provide Admin support as required.

This job role is to support the procurement team mainly. The job entails learning the Purchaser's functions such as PO issuance, reconciliation of DOs with POs and invoices in order to assist the Purchaser. At times, may need to source for new suppliers and vendors.

• Use in-house procurement system to issue POs, reconciliation of delivery orders with purchase orders and invoices.
• Liaise with suppliers and vendors.
• Verify the documentation accuracy from Suppliers and vendors.
• Source new suppliers/vendors and do the price comparison when necessary.
• Work with purchase or service requests from Site team, Store teams and Maintenance team.

The Facilities cum Dormitory Supervisor is responsible for overseeing the daily operations, maintenance, safety, and condition of dormitory and site facilities, as well as managing the welfare, discipline, and accommodation of dormitory residents. The role ensures facilities and dormitory operations comply with MOM requirements, safety regulations, and company policies while maintaining a clean, safe, and orderly environment. This role suits a hands-on supervisor who is organized, responsible, and comfortable in assisting the Facility cum Dormitory Manager, managing both facilities matters and foreign worker accommodation.

Job Description

1.   Facilities Management

• Oversee daily operation and maintenance of dormitory and site facilities.
• Conduct routine inspections of rooms, common areas, and equipment.
• Report defects and follow up on repair and maintenance works.
• Coordinate with contractors, vendors, and internal maintenance teams.
• Ensure cleanliness, hygiene, and proper upkeep of facilities.
• Assist in utility monitoring and control (water, electricity, usage issues).

2.     Dormitory Operations & Resident Management

• Supervise daily dormitory activities and enforce house rules.
• Conduct room checks to ensure cleanliness and discipline.
• Manage residents’ welfare, feedback, and complaints.
• Handle discipline issues firmly and fairly.
• Assist residents during emergencies and welfare matters.
• Help to fill out incident reports for injuries, theft, damage, fights, etc.

3.     Safety, Health & Compliance

• Ensure compliance with MOM dormitory, safety, and fire safety requirements.
• Carry out routine safety checks and inspections.
• Assist during MOM, audit, or internal inspections.
• Support implementation of health, safety, and infectious disease control measures.

4.     Administration & Coordination

• Maintain facilities and dormitory records and reports.
• Coordinate with HR, Operations, Security, and cleaning staff.
• Support occupancy tracking, room allocation, and movement records.
• Provide administrative support as required.

Qualifications & Requirements:

• Minimum GCE ‘N’ / ‘O’ Levels or equivalent.
• Minimum 2–3 years’ relevant experience in facilities, dormitory, site, or worker supervision.
• Experience managing foreign workers preferred.
• Basic knowledge of facilities maintenance and safety practices.
• Good communication and people handling skills.
• Responsible, disciplined, and reliable.
• Able to work shifts, weekends, or public holidays when required.

We are looking for someone who is able to work independently and follow Standards of Procedure (SOP). The job scope is as below.

1. Looking after the vehicle fleet

• Needs to follow SOP strictly and ensure others in the chain of command does as well
• Ensure each vehicle's road tax can be renewed successfully by meeting deadlines for inspection,insurance, VPC etc in order
• Updating vehicle profile schedule, obtain quotations from insurers
• Doing vehicle handover with driver, briefing driver on SOPs and policies
• Maintaining service and repair log for each vehicle
• Handle process of scrapping of vehicle and purchase of new vehicle
• Ensure GPS trackers on vehicles are working
• Help driver to fill out accident report before going to accident report center.

2. Human Resource

• Setup tablet for new supervisor.
• Help with the troubleshooting of tablet problems by co-ordinating with vendor

3. Maintaining various registers

• Maintaining registers for key, laptops/PCs, tablet, walkie talkie, various meters etc
• Following SOP and policies
• Co-ordinating renewal of lifting certificates, ensuring site has relevant certs for their work.
• Updating schedule of machinery and equipment

4. Other Admin/ reception Functions

• Mailing of cheque payments to suppliers; stuff in envelope, check signatures and cheque dates etc
• Answering and directing calls with PABX system
• Greeting and directing visitors to the office inlcuding serving drinks if necessary
• Directing the incoming faxes to relevant persons
• Organising social events and campaigns for office

Qualifications & Required skills

• Candidate must possess at least Higher secondary/Pre-U/A level/College, Professional Certificate/NiTEC, Diploma/Advanced/Higher/Graduate Diploma in Business Studies/Administration/Management or equivalent.

• At least 2 Year(s) of working experience in the related field is required for this position.

• Required Skill(s): Microsoft Office, presentation, problem solving, analytical, data analysis. Candidates with strong IT Tech skills will be favoured.

• Preferably Junior Executive specialized in Clerical/Administrative Support or equivalent.

Responsible for maintaining accurate and complete financial records of Account Payables functions:

• Process Staff Claims and reimbursement.
• Process Subcon timecards.
