To support this high-growth, high-energy phase, we are looking for a Chief of Secretary / Executive Office Administrator to anchor our executive operations and help drive organizational excellence.
Mission of the Role
Ensure smooth executive office operations, strengthen communication across departments, and support leadership as we enter a landmark cultural moment and prepare for our signature Movie Screening Event.
Key Responsibilities
1. Executive Support & Office Administration
Manage day-to-day operations of the executive office with discretion and professionalism.
Provide high-level support to founders and senior leaders (calendar, travel, documents).
Handle highly confidential materials and sensitive communications.
Maintain organized administrative systems, workflows, and documentation.
2. Communication & Coordination
Serve as the primary liaison between executives, internal teams, partners, and external collaborators.
Draft, refine, and manage executive communications, announcements, and official documents.
Ensure timely and accurate flow of information throughout the organization.
3. Meeting & Event Management
Organize board meetings, management meetings, executive reviews, and cross-team sessions.
Prepare agendas, meeting decks, briefing docs, minutes, and action lists.
Support planning and coordination for the F1-themed Movie Screening Event and related programming.
4. Workflow & Process Management
Develop, refine, and oversee administrative protocols and SOPs.
Manage documentation systems and ensure operational efficiency across teams.
Identify process gaps and propose improvements to streamline executive operations.
5. Strategic Support to Leadership
Assist with priority tracking, strategic projects, and organizational alignment.
Monitor deadlines, cross-functional commitments, and leadership initiatives.
Provide essential operational support during major campaigns or event launches.
Required Skills & Qualifications
Diploma/Degree in Business Administration, Management, Communications, or related fields.
5+ years of experience as a senior secretary, executive assistant, or administrative manager.
Excellent verbal and written communication skills.
Strong organization, multitasking, and prioritization capabilities.
High emotional intelligence and ability to handle sensitive matters discreetly.
Proficiency with productivity platforms (Google Workspace, Microsoft Office).
Able to perform under pressure and navigate shifting priorities.
Preferred / Nice-to-Have
Experience supporting C-suite or founders in a fast-paced environment.
Strong stakeholder and relationship management capabilities.
Project management or operations experience.
An interest in personal development, performance psychology, or transformation.
