Main Tasks and Responsibilities

• Manage the day-to-day office tasks of the Managing Director
• Maintain accurate calendars with an understanding of prioritizing important deliverables
• Draft high-level presentations, communications, and documents using Word, Excel, and PowerPoint
• Collaborate with other team members to organize various corporate events. Manage and maintain Directors' schedules, appointments, and travel arrangements where applicable
• Prepare, review, and collate documents/presentations, coordinate with all consultants for tenders/EOIs
• Monitor, screen, respond to, and distribute incoming communications
• Provide administrative support for Projects as well and cover when necessary for Reception duties

Competencies and Experiences

• Minimum 3-5 years in administrative/executive support roles with increasing responsibilities
• Diploma or Degree in Secretary/Administration/Business Studies
• Strong organizational skills, attention to detail, and a very high level of accuracy with particular attention to deadlines
• Ability to maintain confidentiality for all company materials and information
• Good English communication skills
• Highly accountable with excellent professional work ethics and high-level integrity
• Extraordinary ability to multitask, organizational planning skills
• Ability to prioritize work, manage time effectively, and be proactive
• Proficiency in MS Office 365 and virtual meeting apps

Responsibilities

• Originate and develop creative design concepts and the design documents during the design development phase
• Develop solutions to design and detailing issues
• Support the resolution of design solutions during the construction documents and construction administration phases
• Oversee project team members or less experienced designers to ensure design intent
• Ensure project is on schedule and within budget
• Ensure that documentation for all phases conforms to quality assurance, quality control and best practice standards
• Set up project team software parameters and manage standards
• Communicate with client representatives to verify design requirements and specifications, progress reviews and design delivery
• Prepare client presentations and present design concepts and drawings
• Provide technical support and project communications to the team as required
• Attend on-site visits and client meetings to verify design requirements and deliver design progress reviews

Qualities and skills required

• Minimum Bachelor's Degree/Professional Degree/Master's Degree in Architecture from a recognized institution registrable with BOA or equivalent
• Minimum 5 years of working experience in the related field
• Advanced design, visual, and graphic presentation skills
• Demonstrated ability to manage the design of small to large projects to fruition
• Well-versed with contract admin, local Authorities regulations and codes, and knowledge of Virtual Design and Construction (VDC)/Corenet-X
• Conversant with REVIT and 3D Software
• Ability to work in a fast-paced team environment

Job Summary

The Project Administrator provides comprehensive administrative and secretarial support to Directors and project teams within the architectural practice. The role ensures efficient documentation control, front desk coordination, and adherence to internal procedures and quality standards.

Key Responsibilities

1.     Administrative & Secretarial Support

• Provide full administrative and secretarial support including typing, editing, and formatting of reports, submissions, and project documentation
• Manage incoming and outgoing correspondence (emails, letters, courier items)
• Maintain systematic filing and retrieval of project documents in both digital and physical formats
• Support preparation of tender documents, reports, meeting minutes, and presentations

2.     Document Control & Office Coordination

• Ensure proper document management in compliance with company housekeeping policies and QA standard
• Maintain accurate and up-to-date records of project documentation
• Liaise with internal departments to ensure smooth workflow and coordination
• Assist in maintaining general office organization and administrative systems

3.     Front Desk & Reception Duties

• Serve as front desk receptionist when required
• Handle incoming calls, direct inquiries, and provide accurate information to visitors and stakeholders
• Manage visitor registration and maintain a professional front office presence
• Support continuous improvement initiatives within the administrative function
• Ensure all duties are performed in accordance with company procedures, standards, and regulatory requirements
• Provide administrative support for audits, submissions, and compliance documentation when needed
• Undertake ad hoc assignments and support operational needs as required

Required Competencies

• Able to work under pressure and meet the responsibilities of the role
• Proficient with Microsoft O365
• Effectively Bilingual for communication with clients/consultants/visitors
• Ability to manage and prioritize tasks and time efficiently
