Role Overview – Admin Officer (Operations)

The Admin Officer (Operations) provides administrative and operational support to ensure the smooth and effective running of Casa Raudha’s residential services and operational functions. This role supports daily operations, documentation, reporting, and coordination across teams to maintain compliance and service quality.

Key Responsibilities

1. Administrative & Operational Support

• Maintain, organise, and safeguard resident management records, facilities reports, and operational documentation.

• Provide administrative support to the Operations team, including handling incoming calls and maintaining call logs related to referrals, admissions, and discharges.

• Manage and maintain accurate client records and resident documentation in accordance with organisational requirements.

• Support admission and discharge processes, including preparation, verification, and filing of required paperwork.

• Assist with the submission of Programme Administration Forms (PAF) and resident sponsorship documentation.

2. Reporting & Compliance

• Assist in the preparation of internal and external reports, including operational, management, and compliance reports.

• Support the monthly submission of KPIs and statistics to the Ministry of Social and Family Development (MSF).

• Ensure all documentation and reporting are timely, accurate, and compliant with organisational policies and regulatory requirements.

3. Meetings & Governance Support

• Coordinate and schedule Operations meetings, including preparation of meeting agendas.

• Take accurate minutes of meetings and follow up on action items as required.

• Assist in the preparation, collation, and formatting of Board papers and governance-related materials.

4. Coordination & Liaison

• Act as a liaison between the Social Work team and Operations team to facilitate effective communication and coordination.

• Support cross-functional collaboration to ensure smooth operational workflows.

• Perform Covering Officer duties, including shift work, when required.

Education

Role Overview

The Finance & Corporate Executive provides finance, governance, and administrative support to ensure sound financial management, strong corporate governance, and efficient organisational operations. The role supports accounting functions, grant administration, procurement, compliance, and internal processes, working closely with internal teams, Board members, and external stakeholders.

Key Responsibilities

Finance & Accounting

• Maintain full sets of accounts and accurate financial records, including Accounts Receivable (AR), Accounts Payable (AP), General Ledger (GL), and Fixed Assets.

• Support budget monitoring, expense tracking, and audit preparation.

• Ensure timely and proper documentation of financial records within accounting systems and shared drives (e.g. Google Drive).

• Assist with grant financial tracking, reconciliation, and reporting to ensure appropriate utilisation of funds.

• Liaise with auditors, vendors, finance partners, and relevant authorities as required.

Corporate Support & Governance

• Support the development, documentation, review, and maintenance of organisational policies and Standard Operating Procedures (SOPs).

• Assist with compliance monitoring and preparation of governance documentation.

• Maintain contracts, statutory records, regulatory filings, and compliance calendars.

• Support organisation-wide grant administration, including tracking, documentation, and reporting requirements.

Procurement & Administration

• Assist with sourcing quotations, vendor coordination, and purchasing processes in line with organisational policies.

• Track and maintain records of organisational subscriptions, systems, licences, and related documentation.

• Provide general office administration support and assist with corporate and cross-functional projects as required.

Stakeholder & Staff Support

• Prepare Board and committee materials, including agendas, reports, presentations, and meeting papers.

• Coordinate Board and committee meetings, including scheduling, logistics, and document circulation.

• Attend meetings as required and accurately record minutes, resolutions, and action items.

• Maintain organised and up-to-date Board, governance, and stakeholder records.

• Support staff onboarding administration, including documentation and records management.

• Liaise with internal teams, Board members, and external stakeholders to ensure effective communication and follow-up.

• Support continuous improvement of digital documentation, workflows, and internal processes.
  

  Requirements

  Qualifications & Experience

  • Degree in Accounting, Finance, Business Administration, or a related field.

  • 1–3 years of relevant experience in finance, accounting, or corporate support roles preferred.

  • Familiarity with accounting systems such as QuickBooks or Xero is an advantage.

  • Ability to support Data Protection Officer (DPO) responsibilities, with basic IT and systems knowledge.

Key Responsibilities:

Fundraising & Resource Development

● Assist in the planning and execution of fundraising initiatives to meet annual fundraising targets.

● Identify, research, and engage potential donors, corporate sponsors, and funding agencies.

● Support grant applications and proposals, ensuring compliance with funders' requirements.

● Organize and coordinate fundraising campaigns, events, and donor appreciation activities.

● Keep updated with emerging fundraising trends and propose innovative approaches, including the use of technology for donor outreach.

● Work closely with the Fundraising Sub-Committee, including coordinating meetings, preparing minutes, and following up on action items.

● Track and analyze fundraising performance, providing regular reports to management.

Donor Management

● Maintain and update the donor management database to track donor contributions, interactions, and engagement history.

● Manage online donation platforms, including Giving.sg and other relevant channels.

● Ensure timely follow-ups, acknowledgments, and engagement with donors to enhance donor retention and long-term partnerships.

● Prepare and present fundraising status reports, donor impact reports, and financial summaries.

● Develop strategies to grow and sustain donor relationships, including corporate social responsibility (CSR) partnerships.

Digital & Social Media Engagement

● Oversee the organization's social media platforms, ensuring consistent and strategic engagement.

● Develop content for digital fundraising campaigns and donor engagement efforts.

● Monitor and analyze social media performance, providing insights to enhance outreach and fundraising efforts.

● Explore digital fundraising strategies, including peer-to-peer fundraising, crowdfunding, and social media campaigns.

Administrative & Compliance Support

● Ensure compliance with fundraising regulations, governance requirements, and ethical fundraising practices.

● Work collaboratively with the Finance and Admin teams to ensure accurate recording of donations and budget tracking.

● Support the development of policies and procedures related to fundraising and donor management.

● Assist with any other duties assigned by the Executive Director.
