1. OVERALL SUMMARY
The function is responsible for fulfilling all Charter Party requirements for spot voyages and time charter fixtures, ensuring customer satisfaction and maintaining the company’s reputation as a ‘Shipper of Choice,’
while controlling voyage-related expenses within acceptable levels.
2. AREAS OF RESPONSIBILITY
2.1. Monitor vessel movements and update operational systems accordingly.
2.2. Review and respond to vessel-related communications, taking timely action.
2.3. Manage voyage documentation and correspondence throughout the charter lifecycle.
2.4. Coordinate with Superintendents, Commercial, Brokers, Agents & Vendors, and Masters to ensure smooth voyage execution.
2.5. Appoint agents, arrange timely remittance, and oversee service providers as needed.
2.6. Ensure compliance with company policies and contractual obligations,
2.7. Maintain vessel certificates, Q88 or Baltic 99 forms (if applicable) and related records can refer to the relevant IT systems promptly.
2.8. Initiate freight, demurrage and claims billing submissions.
2.9. Spot Voyages:
· Support pre-fixture planning and clearance processes.
· Facilitate voyage/discharge orders, stowage plans, bunkering plan and
agent appointments.
· Manage post-fixture activities including cargo documentation and
demurrage claims.
2.10. Time Charter Voyages:
· Coordinate pre-time-charter queries and documentation.
· Oversee time charter execution, owner’s agent appointments, and claims
billing.
· Ensure delivery/redelivery notices and contractual obligations are
fulfilled.
2.11. Other Duties:
· Maintain communication with Security and Insurance & Claims department for vessels entering high-risk
areas and arrange necessary security measures.
· Obtains various Letters of Indemnity (LOIs) from Charterers as applicable.
· Update Time-Bar records and liaise with internal departments (post fixture) as needed.
3. QUALIFICATION / EXPERIENCE
· Diploma holder and above
· 1-2 years relevant working experience and preferably 1 year of sailing onboard vessel
