About the Role:

RESPONSIBILITIES

THE ROLE: Business Analyst

The Business Analyst at Kaplan Singapore partners with academic, admissions, operations, marketing, and technology teams to translate business needs into clear requirements and data-driven solutions. The role supports digital transformation initiatives by analysing processes, systems, and student journeys to improve operational efficiency and learner experience. The Business Analyst ensures solutions align with Kaplan's strategic objectives, regulatory requirements, and local market needs.

Key Responsibilities:

• Collaborate with academic, admissions, operations, and technology teams to define business problems and gather functional and non-functional requirements.
• Facilitate workshops (internal and external) to capture, validate, and translate stakeholder needs into practical, user-focused solutions.
• Work closely with the Project Manager to ensure project milestones are on track, proactively identify risks and dependencies, and support the successful delivery of projects in line with agreed scope, timelines, and quality standards.
• Analyse, document, and visualise current and future business processes using tools such as LucidChart, Visio, Miro, or equivalent.
• Conduct gap analyses, impact assessments, and develop business cases to support process improvements and digital initiatives.
• Maintain end-to-end traceability of business requirements, from initial scoping through delivery and operationalisation.
• Support agile and waterfall project lifecycles, working closely with development teams (including Salesforce project stakeholders).
• Perform internal testing and coordinate and conduct User Acceptance Testing (UAT) with business users to validate business requirements.
• Stay informed on emerging AI initiatives across the organisation and identify opportunities to support and contribute to their adoption.

• Degree in Business Administration, Information Systems, Data Science, or a related discipline.
• Substantial experience as a Business Analyst across the full project lifecycle, preferably in education, services, or digital transformation contexts.
• Expertise in process mapping, business case development, and requirements management.
• Familiarity with business analysis tools such as Confluence, JIRA, SharePoint, and Microsoft Office Suite.
• Strong facilitation, communication, and interpersonal skills.

Preferred Skills:

• Experience in international or student-focused education environments.
• Professional certification in Business Analysis (e.g. BCS, IIBA).
• Working knowledge of ITIL and project methodologies such as Agile, SAFe, or Prince2.
• Previous involvement in safeguarding-sensitive or compliance-driven projects.

JOB RESPONSIBILITIES

• Work to achieve objectives and deliver results with a short term, operational focus.
• Carry out investigation of user reported issues, formulate and agree terms of reference.
• To prepare user requirement specifications for the issues that requires application development resources.
• To prepare Test Plan, perform testing on the application, manage/monitor UAT to ensure timely and quality deliverables.
• To manage and plan out assigned project or enhancement timeline.
• Able to communicate and manage vendor & solution team to ensure a smooth delivery of project and enhancements on time.
• Explain facts, practices, and policies to others within the department.
• Gather user requirements, and conduct feasibility study.
• Escalate problems/issues to respective team leader.
• Check problems in existing systems or processes.
• Raise data extraction requests in order to identify possible causes of the issues.
• Work with system team to produce Issue Analysis report to users and software and to recommend solutions, where applicable.

REQUIREMENT:

• Minimum 4 years’ experience in Business Analyst role
• Good to have insurance domain exposure/experience.
• Have knowledge and experience in SDLC cycle and implementation.
• Experience with Java and other internet technologies will be advantageous.
• Good analytical and listening skills.
• Ability to work independently with minimal supervision.
• Possess good working attitude and self-motivated to learn. Able to get along with everyone, maintaining good relationships at all levels from senior management to junior staff.
• Good organization skills with sound time management.

Business analyst is the bridge between IT and Business, understanding Business requirements, propose solution and ensuring deliverables fulfil Business objectives.

Responsibilities:

• Point of contact interfacing between technical team to business users on issues and change requests.
• Capture and understand business problems, requirements, and their priorities.
• Understands strategic planning, perform business model analysis, process design and systems analysis.
• Produce Business requirement spec, use case, mockup, test cases and other relevant documents for user sign-off and test execution.
• Work hand in hand with various team members, to ensure that the business requirement and scope of delivery is established for the appropriate delivery phases.
• Follow through the Defect resolutions and ensuring all defects to be resolved within the stipulated timeline
• Plan and execute functional and System Integration Test,
• Support business in the UAT Testing.
• Ensure deliverables quality and conforms to the agreed specifications.
• Conduct training with users or internal IT teams.
• Any other ad-hoc duties assigned

Requirements:

• Min Degree in Computer Engineering / Information Technologies / Business Information System or equivalent
• Min 5 years of relevant experience
• Certified Business Analysis Professional (IIBA) or Project Management Professional (PMP)
• SDLC and Basic application troubleshooting
• Business Requirement Gathering and Analysis, Business Process Modelling and Improvement, Stakeholder Management, Test Execution and Management, Problem Solving
