About the Role
We are looking for an experienced Receptionist to join our growing team. This is a front-line role that requires someone who is professional, organised, and capable of working within the unique environment of a busy law firm.
The successful candidate will handle the full scope of receptionist duties while also taking on responsibility for Deed Poll and notary commissioning matters. You will be the first point of contact for our clients and must carry yourself with the composure, discretion, and service orientation that a legal practice demands.
Key Responsibilities
Reception and Front Office
· Serve as the first point of contact for all clients, visitors, and incoming calls, projecting a professional and welcoming presence at all times
· Manage the reception area,ensuring it is tidy, presentable, and conducive to client confidence
· Answer, screen, and direct incoming telephone calls and enquiries promptly and accurately
· Schedule and coordinate appointments, meetings, and conference room bookings
· Manage incoming and outgoing correspondence, including mail, courier, and electronic communications
· Maintain and update contact records, filing systems, and other administrative databases
· Coordinate with lawyers, paralegals, and support staff on scheduling and client communication matters
· Assist with general administrative tasks as directed by the firm’s management
Deed Poll and Notary Commissioning
· Assist clients in the preparation, completion, and processing of Deed Poll applications
· Manage the end-to-end administrative workflow for Deed Poll matters, including document verification, witnessing coordination, and submission
· Handle notary commissioning procedures, liaising with the relevant lawyers and authorities as required
· Ensure all Deed Poll and notary-related documents are accurately completed, properly executed, and filed in accordance with established procedures
· Maintain accurate records and follow up diligently on outstanding matters
Requirements
Essential
· Minimum 2 years of experiencein a receptionist or front office role within a law firm or legal environment
· Demonstrated familiarity with Deed Poll processes and/or notary commissioning matters is strongly preferred
· Strong command of written andspoken English; proficiency in a second language (Mandarin, Malay, or Tamil) is an advantage
· Professional presentation anddemeanour, with a client-first attitude
· Excellent organisational andtime management skills, with the ability to manage multiple priorities in a fast-paced environment
· High level of discretion and confidentiality in handling sensitive legal and client information
· Proficient in Microsoft Office applications (Word, Excel, Outlook) and standard office systems
· Reliable, punctual, and detail-oriented
Preferred
· Prior experience handling Deed Poll or notary commissioning matters in a Singapore law firm
· Familiarity with legal terminology and general legal office procedures
· Experience working with amultilingual client base
