Office and Admin Specialist, Contract
Summary
A crucial role in supporting the day-to-day operations of the Facilities department. This position is responsible for ensuring that the workplace is safe, clean, and well-maintained, contributing to a positive and productive work environment for all employees.
Office Management/Facilities:
• Manage the concierge function by providing frontline office and facilities support to employees, visitors, and internal stakeholders
• Manage building access for visitors
• Liaise with building management to ensure effective communication and coordination between external parties and internal teams
• Assist in coordinating with vendors and contractors for repair and maintenance tasks
• Support the onboarding of new hires by providing an office overview and liaising with relevant departments to ensure all setups are ready for Day One
• Support office events by coordinating logistics (e.g., ordering supplies and catering) and ensuring smooth execution
Administrative:
• Assist with the setup and breakdown of internal training sessions and office events
• Perform general administrative duties, including business card orders, office supply ordering, invoice processing, etc.
• Support ad hoc administrative projects and tasks
