Position Overview

We are seeking a highly organized andmotivated Junior Secretary to support the Chief Financial Director in day-to-day administrative, scheduling, and coordination duties. This entry-level position is ideal for a fresh school leaver who is eager to learn and develop strong professional office skills. You will serve as a key support to the CFD, ensuring that her schedule, documents, and follow-ups are managed smoothly and professionally.

Key Responsibilities

1. Diary& Appointment Management

• Maintain and update the CFD’s daily calendar.
• Schedule meetings, appointments, and conference calls proactively.
• Send timely reminders and ensure she is prepared for each engagement.
• Coordinate meeting logistics (venue, equipment, refreshments, and required documents).

2.Administrative & Document Support

• Draft, format, and edit correspondence, reports, and presentations using MS Word, PowerPoint, and Excel.
• Manage confidential documents with strict discretion and professionalism.
• Organize and maintain filing systems—both digital and physical.

3. Task Tracking & Follow-Up Coordination

• Work closely with the CFD to understand priorities and deadlines.
• Monitor progress of tasks delegated to internal departments and ensure timely completion.
• Prepare meeting materials and follow up on post-meeting action items.

4.Communication & Liaison Duties

• Serve as the first point of contact for the CFD’s office.

• GCE ‘O’ Level or equivalent.
• Fresh school leavers are welcome; no prior work experience required.
