· Providing comprehensive administrative support to the headquarters operations and project site administrative matters
· Assisting with the procurement of materials, equipment, and services by sourcing suppliers, obtaining quotes, and processing purchase orders
· Maintaining accurate records and monitoring the company properties, like software, computers, motor vehicles, equipment, etc
· Undertaking other ad-hoc administrative duties as required
Identify and evaluate suppliers for raw steel, hardware, welding consumables, and personal protective equipment (PPE) to support project needs
· Obtain multiple quotes and negotiate prices to secure cost-effective procurement without compromising quality
· Issue purchase orders based on site requirements and track delivery schedules to prevent project delays
- Manage office supplies and coordinate maintenance or insurance for vehicles and machinery to ensure operational readiness
Prepare and process purchase orders and requisitions.
· Source, evaluate, and negotiate with suppliers and vendors from China.
· Track and monitor purchase requests, shipments, and deliveries to ensure timely and accurate fulfillment.
· Verify procurement documents such as POs, DOs, and invoices, and coordinate with Finance on payments.
· Maintain accurate records of purchases, costs, delivery schedules, and supplier performance.
· Support cost control efforts and perform cost analysis.
· Assist in tender submissions with pricing and sourcing data.
· Attend customer meetings, supplier fairs, and vendor visits.
· Ensure compliance with internal policies and project specifications.
· Identify alternative materials or suppliers when required.
