KEY RESPONSIBILITIES: 

1. Calendar & Meeting Management for Senior Sales Executives 

• Manage calendars across time zones Senior Vice Presidents and Vice-President of the TV Distribution team to ensure strategic sales meetings and high-value client touchpoints take precedence.   
• Schedule internal, client and partner meetings, including video calls and in-person meetings.  
• Ensure agendas, dial-in details, meeting rooms and materials are prepared in advance.  
• Anticipate conflicts and optimize scheduling priorities.

2. Travel, Logistics & Expense Management 

• Arrange all business travel including flights, hotels, ground transport and visas where required for client meetings, regional business trips, markets and conferences. 
• Ensure flawless execution of client-facing activities, manage last-minute changes when needed.   
• Prepare and submit T&E claims accurately and on time; ensure policy compliance and resolve discrepancies. 

3. Sales Support 

• Act as liaison for client communications, scheduling calls and meetings with key partners. 
• Develop meeting schedules for major industry events with a focus on maximizing networking opportunities and client engagement.   
• Organize client engagement and networking sessions to strengthen revenue-driving relationships, while maintaining and updating client lists, invitations, and RSVP tracking for screenings, premieres, and industry events. 

4. Sales Reporting & Operations 

• Reporting & Data Management: Collate and validate data for weekly, monthly, and quarterly sales reports; coordinate inputs across territories; ensure accuracy, consistency, and timely submission; maintain organized records and version control. 
• Client & CRM Management: Maintain accurate client contact details and trackers that evolve into CRM insights, enabling personalized outreach and strategic engagement. 
• Process & Documentation: Organize and maintain shared drives, trackers, and documentation for client engagement, event planning, and sales processes.

• Assister les RH à la préparation des déclarations fiscales (IRAS, certificat de décharge fiscale) 

3. Organisation des instances statutaires et de gouvernance

• Organisation et secrétariat du Conseil d’établissement ( réunions jusqu’à 6 par an). Organisation du vote électronique du conseil d’établissement, si nécessaire.

• Organisation des élections des représentants (personnels, parents) au Conseil d’établissement.

COMPÉTENCES, EXPÉRIENCE ET QUALITÉS REQUISES

• Formation supérieure (Bac+2/3 minimum) en secrétariat de direction, gestion ou équivalent.

• Expérience confirmée en secrétariat  de direction, idéalement en environnement éducatif ou institutionnel. Une certaine connaissance du système éducatif français est souhaitable.

• Excellente maîtrise des outils bureautiques 

  La connaissance d’outils de gestion scolaire (EDT, Pronote) constitue un atout.

• Très bonnes capacités organisationnelles et de gestion des priorités.

• Excellentes compétences relationnelles et sens du travail en équipe.

• Expérience dans la gestion de la relation avec des personnels éducatifs, des parents et des représentants d’autorités.

Within this context, the Principal’s Assistant plays a strategic role within the organisation. The position sits at the heart of the school’s governance and involves close collaboration with the leadership team, administrative departments, teaching staff, and institutional partners. The role requires, in particular, the ability to manage multiple priorities in a demanding environment.

MISSION

The Executive Assistant to the Principal plays a central role in administrative and institutional coordination. The position contributes to the smooth functioning of the leadership team by ensuring rigorous management of files, effective communication with internal and external stakeholders, and organisational support to the school’s governance bodies.

RESPONSIBILITIES

1. Executive Support to the Head of School

• Manage the principal’s schedule

• Provide direct administrative support

• Coordinate and follow up on strategic dossiers

• Act as an interface between the school, the AEFE (Agency for French Education Abroad), and the French Embassy

• Respond to Embassy surveys and requests

• Translate or proofread institutional communications in English

2. AEFE Liaison & Management of Seconded Staff (in close collaboration with HR)

• Support onboarding and follow-up of seconded staff with leadership and training responsibilities

• Monitor career progression of seconded staff

• Maintain and update administrative records

• Register new staff on AEFE platforms

• Manage secondment processes (initial applications, renewals, monitoring, declarations)

• Track absences, workplace accidents, and reporting obligations

• Organise and submit annual professional appraisal reports

• Consolidate overtime reporting and update HR data for the AEFE Regional Training Plan

• Manage seconded positions (creation, suspension, closure)

• Launch recruitment campaigns and follow up on applications (via MAGE or equivalent tools)

• Respond to AEFE surveys (start-of-year surveys, orientation, special educational needs, housing, etc.)

• Centralise documentation related to the five-year accreditation renewal process with the French Ministry of Education

• Maintain regular communication with AEFE services

• Support HR with the preparation of tax declarations (IRAS, tax clearance) 

3. Governance & Statutory Bodies

• Organise and provide secretariat support for the School Council (up to 6 meetings per year), including electronic voting where required

• Organise elections of staff and parent representatives

• Organise and support the Local Joint Consultative Commission (CCPL – recruitment of seconded staff)

• Coordinate elections for AEFE governance bodies

• Organise and follow up on the following committees:

• Health, Citizenship and Environment Committee (CESCE)

• Continuous Training Committee

• Health & Safety and Working Conditions Committee

• Educational Committee

• Disciplinary Council

4. Internal Coordination & School Life

• Organise meetings for internal groups (e.g. humanitarian group, events committee)

• Contribute to initiatives promoting team cohesion and staff recognition

• Support the organisation of internal school events

QUALIFICATIONS, EXPERIENCE & SKILLS

• Diploma (minimum Bac+2/3) in executive assistance, administration, management, or equivalent

• Proven experience in executive support, preferably in an educational or institutional environment

• Knowledge of the French education system is an advantage

• Strong proficiency in office tools

• Familiarity with school management systems (e.g. EDT, Pronote) is a plus

• Excellent organisational and prioritisation skills

• Strong interpersonal and teamwork abilities

• Experience interacting with educators, parents, and institutional stakeholders

• Ability to work in an international and multicultural environment

• Fluency in French and English (written and spoken mandatory)

About Active Ageing Centres (AAC)

Our AAC serve as a key point of contact for seniors under our care, where we proactively reach out to them, organize social activities, and provide opportunities for interaction with the community. Our aim is to enable seniors to adopt an active lifestyle, pre-empt social isolation, and refer them to assistance in a timely fashion. We hope to improve the health outcomes of seniors living in the community through providing a suite of programs to help them live healthier lives and support their aspirations to age in place.

Responsibilities:

• Assist in coordinating support services and organising activities for the seniors
• Assist in planning & coordinating programmes and activities for the seniors
• Assist in managing, supervising and supporting volunteers
• Conduct Community Screener and ensure buddying & befriending criteria are met
• Assist in conducting outreach
• Assist Programme Executive to prepare monthly report
• General admin duties

Requirements:

• Min. GCE ‘A’ Level, Diploma with Social Service
• Good communication & interpersonal skills
• Preferably with interest and passion for the elderly
• This position is on contract basis
