Job Purpose
Support the management of records and document archive by ensuring records are properly organised, stored, and easily accessible in compliance with policies, regulations, and IM4L standards.
Key Responsibilities
- Organise and classify records in all formats (digital and physical) according to organisational policies and compliance standards.
- Support monitoring of records management practices, including audits and retention schedules.
- Manage the Electronic Records Management System (ERMS) across the full records lifecycle (creation to disposal).
- Track and maintain physical classified files, ensuring proper storage, access control, and retrieval.
- Liaise with the National Archives of Singapore on records-related matters (e.g. appraisal, transfer, declassification).
- Respond to internal requests for records and information.
- Support administrative tasks such as digitisation, system updates, billing, and engagement activities.
Requirements
- Bachelor’s degree in Information Management, Library Science, Business Administration, or related field.
- 3 years’ experience in records management or information governance.
- Familiar with records management policies, IM4L guidelines, and file classification systems.
- Strong attention to detail and ability to handle confidential information.
- Proficient in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
- Good teamwork and communication skills.
