We are a growing interior design studio seeking a reliable and detail-oriented Admin & Finance Assistant to support daily operations in a flexible, part-time role with minimal office presence.

Responsibilities

• Organize and file documents to maintain accurate and accessible records
• Coordinate administrative tasks to support smooth daily operations
• Prepare and assist with invoicing and quotations to ensure timely billing

Primary Function:

• Responsible for keeping full set of accounts (AP, AR and GL) of several entities, working with internal and external auditors, working with tax agent on income tax submission, cash flow management, doing quarterly GST reporting and working with Finance colleagues outside HQ.

Duties and Responsibilities:

(i) Major Duties:

1. Full set of accounts responsibilities (AP, AR and GL):

• Responsible for month-end and year-end closing, including ensure all necessary revenue and cost accruals and provisions are entered in the books
• Prepare monthly Management Accounts and reports for various companies
• Prepare reports for monthly Management Meetings
• Prepare year-end Financial Statements with Notes to Accounts
• Assist in Group accounts and SGX related work where necessary
• Responsible for proper accounting of fixed assets
• Review monthly bank reconciliations
• Liaise with tax agent on income tax matters and income tax computations
• Liaise with external auditors for interim and year-end audit

1. Prepare monthly AR invoices and send out timely
2. Follow up closely on AR collections and resolve timely
3. Manage payments to suppliers, related companies, banks, IRAS and other regulatory bodies
4. Perform monthly cash flow forecasts for several companies
5. Monitor bank balances of various companies and ensure adequate funding
6. Prepare quarterly GST submissions timely
7. Perform monthly reconciliations for inter-company balances

(ii) Other Duties:

Assistant Manager, Finance Operations (Tuas Based)

Are you a hands-on finance professional who prefers transforming processes over maintaining them? We are looking for a proactive leader to join a prominent, fast-paced global organization to oversee finance operations and drive tangible efficiency.

The Role:

• Take full ownership of AP, invoicing, and payment cycles. Drive automation and process improvement.

• Work closely with project leads to monitor performance, manage budgets, and ensure financial agility.

• Manage internal controls, compliance, and cash flow for our Singapore operations.

• Partner with FP&A and GL teams to streamline reporting and elevate shared service performance.

• Act as the primary point of contact for auditors, tax agents, and banking partners.

Requirements:

• 6+ years of experience in finance operations; background in project accounting or heavy industry is a strong plus.

• Expert in SAP and advanced Excel.

• Proven ability to lead teams and manage shared service center relationships.

• A solutions-oriented communicator who excels at bridging the gap between finance and operational stakeholders.
