Job Summary:

We are seeking a proactive and detail-oriented SalesSupport Assistant to join our dynamic FMCG team. This role plays a criticalpart in supporting the sales function by coordinating with internaldepartments, managing sales documentation, and ensuring a smooth pre- andpost-sales process for both local and export markets.

Key Responsibilities:

Sales Coordination & Support:

• Provide administrative and operational support to the Sales Team.
• Process sales orders, prepare quotations, and coordinate deliveries with the logistics team.
• Maintain up-to-date customer records, pricing, and product information.

Client Communication:

• Liaise with existing customers for order follow-up, product inquiries, and service updates.
• Handle basic customer complaints or escalate to relevant departments as needed.

Sales Reporting & Analysis:

• Track sales performance and generate weekly/monthly reports for internal review.
• Monitor inventory levels and coordinate with the supply chain team to ensure product availability.

Documentation & Compliance:

• Prepare and maintain export documentation (invoice, packing list, COO, etc.).
• Ensure compliance with international shipping and regulatory requirements.

Internal Collaboration:

• Coordinate closely with purchasing, warehouse, and finance departments to ensure timely order fulfillment and invoicing.
• Assist in preparing materials for sales presentations, exhibitions, and customer visits.

Requirements:

• 2+ years of experience in a sales support or sales admin role, preferably in FMCG or trading/import-export.
• Strong communication and interpersonal skills.
• Proficient in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus.
• Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
• Knowledge of export documentation and international trade practices is an advantage.

Key Responsibilities

1. Marketing Operational Tasks:

·         Post-Show Survey Coordination: Creation and testing of the post-show survey forms. Photocopy 400-500 forms to bring to show site

·         At-Show Support: Liaising with designers and project team to ensure accuracy for onsite boards, including the Programme board, Floorplan & Exhibitor List board, and Partners Acknowledgement board. Create simple posters or table sign. Liaise with designer and printer for Lanyard orders.

·        Simple Pre-Show Marketing: Producing 3-4 social media posts per week to announce exhibitors and drive audience engagement. Support enquiries from visitors or delegates.  

1. Digital and Registration Team Support:

·         Data Management: Uploading the exhibitor badges list from the system backend.

·         Visitor Group Registration: Uploading of group registration from the backend

o    For G2E, manage 40-50 group registration lists from casinos. This person must ensure accuracy by checking and filling in missing data where possible.

o    For IBEW, handle over 30 group ticketing sales by uploading data, sending invoices, and following up on payments.

o    Support enquiries from these visitors

·         Create SOP document: Support me and Digital Team to draw up SOPs.

Order Processing Sales Support Assistant

Working Hours: Mon – Fri, 9am – 6pm

Salary: $2800 - $3000

Job Description and Responsibilities:

• Order processing, co-ordination and control.
• Prepare costings and quotations and upon approval dispatch the in timely fashion.
• Liaise with factories overseas, scheduling of material procurement, production, quality inspection, shipping and delivery.
• Assist and support the marketing team in planning and forecasting.
• Provide, coordinate and execute customer service and supports.
• Arrange payment via Letter of Credit, Cash against Documents or Wire Transfer.
• Attend to other inside sales and supports matters as and when assigned.
• Process customer orders with high accuracy, ensuring correct pricing, discounts, and margin.
