Join Portcullis as a Senior Trust Administrator
The Portcullis Group is a multi-family office platform supporting private clients with a full suite of Trustee, fund, investment and family office services. Working within the Trust Department you will be responsible for a portfolio of clients and assisting them with the establishment and administration of trusts and underlying corporate structures across various jurisdictions.
We are now inviting passionate individuals to join our dynamic team as a Senior Trust Administrator.
In this role, you will take end-to-end ownership of a complex portfolio of trust and family office structures. It also balances high-touch client relationship management with technical fiduciary administration, risk mitigation, and the mentorship of junior team members to ensure absolute compliance with industry regulations and internal policies.
Key responsibilities:
Portfolio & Relationship Management
Act as the primary, trusted point of contact for high-net-worth clients, settlors, beneficiaries, bankers, and professional advisors; proactively managing expectations and resolving complex queries.
Oversee comprehensive family office and trust administration, ensuring that all client transactional records, financial structures, and asset portfolios are meticulously maintained.
Monitor trust financial health, including tracking trust income and ensuring accurate, timely client invoicing.
Fiduciary & Trust Documentation
Execute fiduciary duties with strict adherence to relevant trust laws, constitutional documents, and internal codes of conduct.
Review, draft, and finalize complex trust documentation, including trust minutes, deeds, and corporate resolutions.
Serve as a "B" signing authority for trustee bank accounts, ensuring flawless execution of high-value client transactions.
Risk, Compliance & Governance
Lead the client acceptance and onboarding process, taking accountability for comprehensive Know Your Customer (KYC) and Anti-Money Laundering (AML) due diligence.
Conduct ongoing, rigorous risk reviews and monitoring of trust files, transaction activities, and investment performance.
Identify, mitigate, and escalate high-risk administrative issues, red flags, or regulatory inconsistencies directly to senior management.
Leadership & Quality Control
Supervise, mentor, and review the work of junior trust administrators to foster professional growth and ensure team-wide operational accuracy.
Enforce data integrity across physical and digital record-keeping systems and the completion of all internal compliance checklists.
We are looking for candidates who meet the following criteria:
Bachelor’s Degree in Law, Business Administration, Accounting, Finance, or a related field. Professional certifications (e.g., STEP, ICSA) are highly advantageous.
Proven experience in trust administration, wealth management, or corporate governance, with a track record of handling complex fiduciary structures.
Deep understanding of trust laws, compliance frameworks, FATCA/CRS, and AML/CFT regulatory requirements within the private trust industry.
Familiarity with opening and managing private and corporate bank accounts across various jurisdictions; proficiency in specialized trust accounting/administration software.
Exceptional stakeholder management, communication, and negotiation skills. Strong analytical acumen with an eye for detail, and the ability to manage competing deadlines independently.
