Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests.

POSITION SUMMARY

Under the guidance of Director of Business Travel / Assistant Director of Business Travel / Sales Manager, assist the team in Special Corporate business segment. Handle all administrative work of their respective managers.

QUALIFICATIONS

Essential: 

1. Diploma in Hospitality or Business/Management
2. Able to communicate clearly in English with guests/clients and hotel personnel confidently and accurately
3. Proficient in Microsoft Office applications

Desirable:

1. Previous experience in hospitality industry; preferably a luxury hotels
2. Aptitude to do proactive sales
3. Degree in Hospitality or Business/Management

MAIN DUTIES AND RESPONSIBILITIES

Essential Job Functions: 

1) Administrative (65%)

1. Prepare proposals and contracts as directed by the respective Director of Business Travel (DOBT) / Assistant Director of Business Travel (ADOBT) and Sales Manager (SM) in the approved correspondence format
2. Check availability of guestrooms, meeting space and restaurants and block the space accordingly
3. Raise catering leads/ group booking forms and copy to all concerned departments
4. Attend weekly Business Travel meeting, monthly sales and marketing meetings and other meetings when required 
5. Co-ordinate and execute special projects as and when assigned
6. Co-ordinate production reports to be given to respective clients 
7. Complete and submit Business Travel Pricing/RFPs as given by respective DOBT / ADOBT / SM
8. Prepare reports as directed by respective DOBT / ADOBT / SM
9. Filing of Correspondences directed by respective DOBT / ADOBT / SM
10. Maintenance of Sales & Marketing collateral and assets

2) Sales (25%)

1. Energizes all Ritz-Carlton Gold Standards and ensures department implementation
2. Assist with qualifying new account/new business opportunities
3. Handle phone inquiries or requests on Meetings/Seminars/Conferences/Catering and Room reservations 
4. Conduct hotel inspection in the absence of the sales managers
5. Follow up with the clients as directed by respective DOBT / ADOBT / SM
6. Work closely with Business Travel team to achieve Special Corporate segment goals
