Job Summary

We are seeking a dynamic and experienced Programmes & Events Executive with a background in Mass Communication to provide maternity cover for the Assistant Manager (Prevention & Restoration) role. The incumbent will be responsible for planning, coordinating, and executing key programmes, outreach campaigns, and events that align with our mission to promote community awareness, empowerment, and support services. This role requires a balance of hands-on event management, stakeholder engagement, and communication strategy, ensuring programme continuity and visibility during the cover period.

Key Responsibilities

Programme & Event Coordination

- Plan, organize, and execute community programmes, workshops, and outreach events under the Prevention & Restoration pillars.
- Work closely with internal teams and external partners to ensure smooth implementation and alignment with programme objectives.
- Oversee event logistics, vendor coordination, and budget tracking.
- Prepare post-event reports, feedback summaries, and recommendations for continuous improvement.

Communication & Public Engagement

- Develop and execute communication materials (press releases, social media posts, and event collaterals) to enhance public engagement.

Stakeholder & Volunteer Management

- Maintain relationships with programme partners, sponsors, and vendors.
- Engage and coordinate volunteers for community activities and events.
- Support the documentation of partner deliverables and engagement outcomes.

- Engage with key community leaders, policymakers, non-profit partners, and funders to promote programme goals and secure support and funding.

- Negotiate with service providers and vendors to ensure high-quality resources are obtained at cost-effective prices.

Monitoring & Reporting

- Track project timelines, deliverables, and outcomes to ensure programme milestones are achieved.
- Prepare and submit progress updates, financial summaries, and impact reports to management.

Compliance and Reporting

- Oversee the compliance of programmes with all applicable laws, regulations, and grant/funding requirements.

- Develop comprehensive reports detailing programme progress, outcomes, and metrics for internal and external audiences, including regulatory bodies and funding agencies.

- Implement robust systems for data collection and analysis to ensure accurate reporting and inform ongoing programme adjustments

Innovation & Improvement

- Contribute creative ideas for improving programme design, event engagement, and outreach impact.
- Propose new approaches for digital storytelling and awareness campaigns leveraging your Mass Communication background.

Requirements

- Degree in Mass Communication, Events Management, or its equivalent.
- At least 3 years of experience in programme coordination, events management, or public engagement.
- Strong communication and interpersonal skills with the ability to manage multiple stakeholders.
- Proficient in Microsoft Office and familiar with event management tools or social media platforms.

We are seeking a highly organised and proactive Administrative & Events Coordinator to support the Organisational Learning & Excellence (OLE) team. This role provides end-to-end coordination across events, administrative processes, procurement, and stakeholder engagement, ensuring smooth delivery of staff engagement initiatives and internal programmes.

Key Responsibilities

1. Event & Logistics Coordination

• Provide end-to-end coordination for internal and external events (e.g. townhalls, engagement sessions, awards, leadership events)
• Liaise with venues, vendors, caterers, and event partners on logistics, setup, and timelines
• Coordinate event requirements including registration, seating, materials, AV support, and refreshments
• Support site visits and ensure readiness prior to events
• Provide on-site coordination and post-event follow-up

2. Participant Management

• Manage end-to-end participant administration (invitations, RSVP tracking, reminders, replacements)
• Maintain accurate participant databases and trackers
• Ensure balanced participation across departments and staff groups
• Provide timely updates and proactively flag issues

3. Procurement & Vendor Administration

• Support procurement activities (e.g. RFQs, SVPs, quotation comparisons) in line with guidelines
• Liaise with vendors for quotations, documentation, and invoicing
• Maintain procurement trackers and ensure timely follow-ups
• Support invoice processing and audit-ready documentation
• Assist with post-event procurement close-out

4. Session Administration & Reporting

• Prepare session materials (attendance lists, discussion materials, supplies)
• Take accurate notes during sessions and compile summaries with key insights and follow-ups
• Collect and analyse participant feedback
• Prepare summary reports highlighting trends and improvement areas

5. Knowledge Management

• Maintain organised records, trackers, and documentation across initiatives
• Ensure proper filing, version control, and accessibility of materials
• Support onboarding by maintaining up-to-date knowledge resources
• Recommend improvements to filing and tracking processes

6. Communications Administration

• Manage shared email inbox and route queries appropriately
• Support dissemination of internal communications (emails, intranet updates)
• Coordinate approvals and content clearance
• Provide basic formatting support (e.g. PowerPoint, Canva)

Requirements

Qualifications & Experience

• Diploma or GCE A-Level qualification
• Minimum 3–5 years of relevant experience in administrative support, event coordination, or operations
• Experience in stakeholder coordination and procurement support is preferred
• Familiarity with government procurement processes is an advantage
• Strong organisational and multitasking abilities
• Excellent communication and stakeholder management skills
• Meticulous with strong attention to detail
• Proficient in Microsoft Office (Excel, PowerPoint, Word) and collaboration tools (Teams, Zoom)
• Comfortable using AI/digital tools (e.g. ChatGPT) to enhance productivity

Salary Range: $2500 - $3000

Daily Job Scopes: 

• Provide daily support on administrative functions such as paper filing, answering call and email enquiries.
• Ensure the proper documentation and execution of all catering and event sales. 
• Responsible for day to day co-ordination of the banquet and meeting space to ensure maximum revenue and profitability for the company. 
• Responsible with coordinating with external vendors for necessary services to execute events. 
• Pro-actively generate revenue and establish new sales opportunities through prospecting and organise sales visit To assist with site visits as and when required 

Key Responsibilities

Project Coordination

• Coordinate day-to-day project activities to ensure timely delivery of project milestones.
• Support project managers in planning, scheduling and monitoring project progress.
• Liaise with customers, contractors, vendors, landlords and internal departments.
• Assist in preparing project documentation, reports, meeting minutes and project updates.

• Handle general administrative duties relating to projects and events.

Stakeholder Management

• Build positive working relationships with clients, government agencies, landlords, business partners and vendors.
• Attend project meetings and prepare follow-up documentation.
• Coordinate communication between internal departments to ensure smooth project execution.
• Maintain a high level of professionalism when representing QuikBot.

Requirements

Minimum Qualifications

• Diploma or Bachelor's Degree in Business, Project Management, Events Management, Engineering, Marketing, Hospitality or a related discipline.
• Fresh graduates with relevant internship experience are welcome to apply.

Experience

• 1–3 years of experience in project coordination, event management, operations or administrative support is advantageous.
• Experience working in technology, robotics, engineering or logistics industries will be an added advantage.
