Job Responsibilities
We are looking for a responsible and organised individual to support student administration and attendance operations.
Key Duties:
1. Attendance Management
· Prepare attendance sheets for in-house courses and External Degree Programmes (EDP).
· Update student attendance records in the School Management System (SMS).
· Prepare attendance sheets for makeup classes.
2. Compliance & Reporting
· Prepare and submit monthly attendance reports to the Immigration & Checkpoints Authority (ICA).
· Monitor low attendance cases and issue warning letters.
· Send official emails to students regarding attendance concerns.
· Maintain proper records of all notifications and reports.
3. Leave & Absenteeism Administration
· Process online leave applications for medical or urgent leave.
· Review leave applications and reports.
· Seek management approval for exceptional leave requests.
· Prepare monthly leave reports for management review.
· Monitor absenteeism and follow up with students.
4. Student Support
· Handle student enquiries related to attendance, leave matters, and exam eligibility.
· Provide Mandarin language support for students when required.
· Assist students under provisional expulsion with appeal documentation.
· Provide basic counselling and student guidance when needed.
5. Examination Support
· Check students’ exam eligibility at the end of each module.
· Inform the Exam Department and relevant staff of eligibility status.
· Assist with invigilation during examinations.
· Follow up with students on examination matters.
6. Administrative Duties
· Retrieve student files and complete necessary documentation for final expulsion cases.
