Job Description

To support the Admin Manager in the day-to-day management of the reception, administration and others supporting duties.

Reception duties

• Attend to incoming calls
• Attend to visitors and handle all enquiries
• Manage the auto-gate intercom and the public address system
• Attend to all incoming faxes and mails from letterbox
• Maintain a good filing system and records.

Administrative duties

• Handle the admission, discharge, booking and coordination of transport for the residents
• Arrange for financial counselling
• Ensure that the residents’ records are updated and properly maintained
• Ensure all charges are correctly keyed into the CURA System before invoices are generated
• Send out invoices and track accounts receivables
• Generate receipts upon receiving payment
• Prepare day end report
• Update E bed status in IRMS
• Update residents’ hospitalization and home leave
• Coordinate and email prescriptions to Polyclinics
• Coordinate with family for subsidy application and for the social report
• Renew HHMT
• Update RAF
• Draft letter to payer for changes in RAF, to be signed by the Operations Manager
• Coordinate with doctor for PGDAS, IDAPE, Eldershield, memo for discharge and medical report for subsidy application

Other duties

• Coordinate with the Nursing Department for the services and consumables required and used by the residents and ensure that all these items are keyed into the CURA System, as well as any special meals ordering
• Coordinate with the Nurse Managers for bed assessment and functional status report for subsidy application
• Coordinate with the Physiotherapists for PT report for purpose of subsidy application
• Email discharge notice to respective nursing level
• Handle client’s feedbacks and re-direct the feedback to the respective Departmental Head
• Print of wound photos sticker labels and prescriptions
• Attend to resident/family needs (e.g. purchase of ripple mattress and additional PT session)

Job Requirements

• Possess “O” Level / "A" Level Certificate or a Diploma in Business or its equivalent
• Have at least 1 year of relevant working experience in the Nursing Home or healthcare industry
• Able to work on alternate Saturday
• Able to work onsite in Bukit Panjang area.

Job Summary

Support the Nursing Department by managing administrative, coordination, and documentation tasks to ensure smooth operations, regulatory compliance, and quality resident care in the nursing home.

Responsibilities

• Maintain and update nursing records, policies, and documentation to comply with Ministry of Health (MOH) requirements
• Ensure accuracy, completeness, and audit readiness of departmental files such as training records and audits
• Prepare documentation and support processes for internal and external audits
• Coordinate training schedules for internal and external staff to ensure timely completion
• Maintain training records, competency checklists, and certification tracking for nursing staff
• Liaise effectively with external training providers to facilitate staff development
• Assist in daily ward administrative operations to support nursing workflows
• Schedule residents’ medical appointments and follow-ups to ensure continuity of care
• Coordinate communications among multi-disciplinary teams to support collaborative care
• Assist in communication with residents and next-of-kin to provide updates and support
• Organize care conferences and family meetings to facilitate care planning and engagement
• Track and manage nursing-related supplies and equipment to maintain operational readiness
• Support requisition processes and maintain accurate documentation for supplies
• Ensure adherence to nursing home policies and regulatory guidelines in daily operations
• Perform ad-hoc administrative tasks as assigned to support department needs

Preferred competencies and qualifications

• Certificate in Business Administration, Diploma/Degree in Healthcare Administration, or equivalent
• Minimum 2 to 3 years’ relevant experience, preferably in healthcare
• Proficient in Microsoft Office applications to manage documentation and communication
• Strong organizational skills to manage multiple tasks efficiently
• Good interpersonal skills to liaise with staff, residents, and external providers
• Ability to multitask effectively in a dynamic healthcare environment
• Able to work on-site in Bukit Merah

Responsible for the administration and implementation of the Home's policies and procedures; supervise a team of care staff which include overseeing day-to-day nursing and related activities, ensuring quality nursing standards and proper clinical documentation.

• Assesses residents within 24 hours of admission
• Develops a nursing care plan and carry out nursing care based on care plan
• Assists in organising and coordinating activities directed at enhancing the quality of life of residents
• Accountable for the residents' personal hygiene, grooming and their activities of daily living
• Identifies and initiates appropriate preventive and rehabilitative nursing procedures
• Prepares and maintains proper and accurate clinical documentation
• Ensures safe custody and keep proper records for Controlled Drugs and Poisons
• Sees to the proper administration of prescribed medications and treatment
• Makes professional judgement and decisions in rendering nursing care to the residents according to individual's needs
• Supervises the enrolled nurse, nursing aides and healthcare assistants in the delivery of nursing care based on the care plan so as to maintain adequate standard of nursing care
• Guides, educates and trains new staff
• Co-ordinates with other staff members and update them on changes in the residents' conditions and needs
• Co-ordinates with other departments such as housekeeping and maintenance to ensure a safe, clean and properly maintained environment
• Evaluates the resident's response to care interventions on a regular basis and recommends revision of care plans as necessary
• Keeps abreast with the latest developments in the care of the elderly by reading nursing literature, attending lectures and talks
• Perform shift duty and be on-call whenever necessary
• Any other duties as assigned by Supervisor.

Job Requirement

• Possess Diploma or Degree in Nursing or its equivalent;
• Possess Post Basic or Advanced Diploma in nursing education will be an added advantage;
• Hold a valid registration with Singapore Nursing Board (SNB);
