Job Summary

The Business Operations & Finance Executive supports daily operations by managing finance, administration, and business activities to drive efficiency and commercial success in a fast-paced environment.

Responsibilities

• Prepare client invoices, develop payment schedules, and track receivables to ensure timely collections
• Coordinate with external accountants, tax agents, payroll providers, and corporate secretaries to maintain compliance and accurate financial records
• Manage expense claims, reimbursements, vendor payments, and maintain organized documentation for audit readiness
• Support budgeting processes, prepare monthly financial reports, and monitor cash flow for informed decision-making
• Organize contracts, agreements, and internal approval workflows to streamline business operations
• Coordinate travel bookings, manage calendars, schedule meetings, and support executive time management
• Assist with project management by tracking progress and facilitating cross-border business activities
• Identify and implement improvements to internal processes, reporting systems, and administrative workflows to enhance operational efficiency
• Support management in business planning, preparing presentations, and executing ad hoc projects to meet strategic goals
• Liaise professionally with partners, clients, and service providers to foster strong business relationships

Required competencies and certifications

• Diploma or Degree in Business, Finance, Accounting, Economics, or related field
• Minimum 2 years of experience in operations, finance, administration, consulting, or a similar role
• Proficient in Microsoft Excel, PowerPoint, and Google Workspace
• Strong written and verbal communication skills in English
• Ability to work independently in a fast-paced entrepreneurial environment
• Strong organizational skills with excellent attention to detail
• Good understanding of invoices, budgets, and business documentation
• Positive attitude, discretion, and strong sense of ownership

Preferred competencies and qualifications

• Experience in startup, media, entertainment, agency, or international business environments
• Familiarity with Singapore corporate compliance and finance processes
• Additional language skills are a plus (languages not specified to avoid bias)
