The Project Coordinator (PC) supports the Project Manager - Facility & Infrastructure(F&I) in the client‑side oversight of assigned Laboratory and CQV-related scope areas, ensuring the EPCM and vendors deliver to agreed scope, schedule, cost, quality, safety, and compliance requirements. The PC focuses on coordination, tracking, reporting, documentation control, and interface support, rather than holding end‑to‑end package accountability. The role supports delivery through design, procurement, construction, commissioning, qualification, and turnover, ensuring readiness, information flow, and alignment across stakeholders.

Scope areas include (but is not limited to):

1. Lab construction works (civil, architectural, mechanical, electrical, plumbing)

2. Lab equipment installation, integration, and utilities support

3. CQV activities: Commissioning, Qualification, and Validation for lab spaces and equipment.

Accountabilities:

Lifecycle Delivery Support:

· Assist the Project Manager or line manager within project leadership in planning and delivering defined laboratory and CQV-related work scope to meet agreed schedule, budget and quality targets.

· Responsible for cost, schedule, and ensuring the work package meets all stage-gates associated with delivery.

· Prepare regular project reports and presentations for key stakeholders.

· Participate in Mechanical Completion (MC) walkdowns, manage and track punch list items, and support commissioning, qualification, and system start-up activities.

· Coordinate with relevant stakeholders to facilitate the transfer of relevant project information, as-built drawings, turnover packs, operating &maintenance manuals and BIM model to Customer (Site Operations).

· Support readiness for Lab Mechanical Completion (MC), system handover, and commissioning milestones.

· Lead Phase 1 & Phase 2 lab readiness activities, supporting temporary lab solutions or outsourcing transitions when required.

Stakeholder and interface management:

· Coordinate interfaces between Project Management, EPCM, Engineering, QA, Validation, procurement, contractors, and vendors to support integrated delivery.

· Participate in meetings and reviews with EPCM during Detailed Design (DD), construction phases and installation phases, supporting coordination with suppliers, contractors, and end-users where applicable.

·  Support coordination with QA, Validation, and Engineering teams for URS development activities and CQV planning and execution (FAT/SAT, IQ/OQ support).

· Act as a communication focal point to ensure alignment between technical teams and overall project objectives.

Compliance and quality:

· Ensure compliance with engineering, SHE (Safety, Health & Environment), GMP (Good Manufacturing Practice) &GEP (Good Engineering Practice) work standards, and procedures to ensure the assets satisfy business needs and external regulators, promoting a positive eHealth and Safety culture.

·  Assist in ensuring design and delivery comply with applicable legislative, statutory, and regulatory requirements relevant to laboratory and CQV scopes.

· Support coordination and follow-up of permitting, statutory inspections, and regulatory approvals related to laboratory construction, fit-out, and equipment installation.

· Assist in driving commissioning and validation activities for laboratory systems and equipment, ensuring alignment with internal standards and regulatory expectations.

· Ensure compliance with SHE standards, and ensure the assets meet business and regulatory needs.

Controls and reporting:

· Identify and assess risks (such as commercial, design, schedule) and mitigate impacts, with escalation to management when appropriate.

· Support the PM to ensure compliance with the project management process (CPDP - Capital Project Delivery Process)throughout the project lifecycle and obtain necessary certifications and approvals from Customer representatives.

Governance and standards:

· Support implementation of Design Assurance processes during all project phases, ensuring required reviews and approvals are completed.

· Identify and review with team best practices and lessons learned from past projects.
· Ensure project documentation is controlled, traceable, and aligned with company standards and quality systems

Technical coordination:

· Manage the engineering response to Requests for Information by EPCM/Vendors during construction – timing, quality and alignment to project scope.

· Coordinate required utilities (MEP, process, gases, special services)to ensure compatibility with lab equipment needs.

· Manage delivery, installation, and physical integration of lab equipment into lab spaces and readiness checks.

Contract / supplier management:

· Support procurement activities by assisting with technical clarification, documentation review, and coordination with suppliers and vendors.

· Track supplier and vendor deliverables, supporting monitoring of quality, schedule, and documentation submissions.

· Support vendor coordination activities related to FAT, delivery, installation, and SAT execution

Operational readiness and turnover:

· Organize, manage, and follow up on FAT, SAT, and qualification execution and documentation, ensuring closure of deviations and compliance with system lifecycle documentation.

· Interface with site engineering, maintenance, calibration, and operations teams to support asset onboarding and operational readiness.

· Support and execute CQV activities (Commissioning, Qualification, Validation) for lab spaces, systems, and equipment.

· Lead lab punch list creation, tracking, and closure to achieve final turnover and operational readiness to Site Operations

Process Safety Lead is responsible for process safety delivery in the project, following Process Safety Management frameworks. PSL should also serve as Local SHE representative as part of the client’s team, responsible for highlighting to the project the local rules and regulations in terms of planning application, emission registers, environmental and safety studies, etc., will support the Project Technical Manager and the Engineering SHE Lead for the delivery of SHE matters.

Typical Accountabilities:

The Process Safety Lead is responsible for ensuring that Process Safety is fully integrated into the Design, engineering, construction and commissioning phases of the Project.

• Process Safety Design: Ensure that the facility is designed and delivered in accordance with Pharma standards, local regulatory requirement, international standards and Industry best practices to prevent Hazards.

• Serve as a Technical authority for Process Safety of the project.

• Strategy and governance: Develop, maintain and follow the process safety strategy, standards & corporate policies.

• Risk identification and analysis: Lead & coordinate process hazard analyses (PHA study, Safety review, Hazop, LOPA etc.) and ensure risk assessments are applied across project life cycle stages. attend the Process safety reviews to present as Process Safety representative from Client team.

• Deliverables and Schedule: Accountable for all process safety deliverables (basis of safety, hazard studies, relief/ venting, explosion proof studies etc.) and activities are carried out according to project requirement and project schedule. Track and report the progress of the deliverables to the management team.

• Coordination: Liaise & coordinate with all the relevant stake holders including global SHE team, 3rd parties, design consultants to effectively carryout the Process Safety design implementation

• Cross functional leadership: close coordination with operations, engineering, quality and SHE team for daily works & decision making.

• Ensure Contractors and suppliers meet the process safety expectations.

• Monitor the progress of Process Safety & SHE delivery plan. Coordinate with stakeholders to provide inputs & decision making.

• Support Construction SHE teams with relevant inputs for Local standards and operating procedures

• Actively involve & support activities necessary for mechanical completion, operational readiness and Pre Start-up Safety review.

Essentials:

• Degree in Engineering with Experience & detailed understanding of elements of Process Safety and inherent safer design

• Minimum 10 years of process safety experience

• High level of understanding of the range of standards

• Detailed knowledge of relevant Safety, Health & Environment legislation

The Project Coordinator is responsible for overall project execution, coordination, and delivery. While the Technical Project Manager(TPM) focuses on technical design and process systems, the PC ensures seamless project integration across all workstreams including schedule management, cost control, stakeholder coordination, risk management, and construction oversight.

This role requires strong project management capabilities, construction/facility delivery experience, and the ability to coordinate multiple contractors, vendors, and internal stakeholders. The PC will serve as the central coordination point for the project, ensuring alignment between design, procurement, construction, commissioning, and qualification activities. The Project Coordinator will drive project governance, reporting, and decision-making to ensure the facility meets schedule, budget, quality, and business objectives.

Typical Accountabilities

1.       Overall Project Coordination & Integration

• Coordinate all project workstreams including design, procurement, construction, commissioning, and qualification to ensure seamless integration and handoffs
• Serve as the primary interface between the MHZ Project Management, contractors, vendors, and internal stakeholders
• Facilitate cross-functional coordination meetings and ensure alignment across Engineering, Procurement, Construction, CQV, Operations, EHS, and QA teams
• Manage project interfaces and dependencies between facility infrastructure, process equipment, utilities, and support systems
• Drive resolution of cross-workstream issues and conflicts

2.       Schedule Management & Planning

• Coordinate with contractors, vendors, and internal teams to establish realistic milestones and critical path activities
• Track progress against baseline schedule; identify delays, critical path impacts, and schedule risks
• Lead schedule recovery planning and mitigation strategies when delays occur
• Facilitate look-ahead planning sessions and coordinate resource leveling across workstreams

3.       Cost Management & Budget Control

• Monitor project budget and expenditures across all cost categories (design, equipment, construction, contingency)
• Track commitments, purchase orders, change orders, and forecast costs to completion

• Evaluate and process change requests; assess cost and schedule impacts

• Assist the PM to prepare monthly cost reports and forecasts for project leadership

4.       Risk & Issue Management

• Establish and maintain project risk register; facilitate risk identification, assessment, and mitigation planning
• Lead risk review sessions with project team and stakeholders
• Track and escalate critical risks and issues requiring senior management attention
• Coordinate development and implementation of risk mitigation and contingency plans
• Monitor risk triggers and ensure proactive response to emerging issues

5.       Construction Management & Site Oversight

• Oversee general contractor and construction activities to ensure compliance with project requirements, safety standards, and quality expectations
• Coordinate construction logistics, site access, material deliveries, and laydown areas
• Monitor construction progress through site walks, progress meetings, and milestone tracking
• Ensure construction quality through inspection protocols, hold points, and acceptance criteria
• Coordinate utility tie-ins, infrastructure readiness, and facility systems integration
• Manage construction safety programs in coordination with EHS team
• Lead construction progress meetings and coordinate resolution of field issues

6.       Change Management & Document Control

• Establish and enforce project change control procedures
• Evaluate change requests for scope, cost, schedule, and quality impacts
• Coordinate change review and approval process with stakeholders
• Maintain change log and ensure proper documentation and communication
• Oversee project document management system and ensure proper version control
• Ensure timely review, approval, and distribution of project deliverables and documentation

7.       Stakeholder Management & Communication

• Develop and execute stakeholder engagement and communication plans
• Prepare and deliver project status reports, presentations, and dashboards for leadership and governance forums
• Coordinate project review meetings with senior management and business stakeholders
• Manage expectations and ensure alignment on project scope, schedule, and budget
• Facilitate decision-making forums and ensure timely resolution of escalated issues
• Coordinate with regulatory and compliance teams on permit requirements and inspections

8.       Commissioning & Qualification Readiness

• Coordinate transition planning from construction to commissioning and qualification
• Ensure construction completion prerequisites are met (mechanical completion, system turnover, CTOD, punch list closure)
• Support development of commissioning and qualification strategies and schedules
• Coordinate readiness reviews, PSSR (Pre-Startup Safety Reviews), and "Safe to Start" verifications
• Facilitate handover of systems from construction to CQV and operations teams
• Track commissioning and qualification progress and support issue resolution
• Ensure smooth transition from vendor FAT → site receipt → installation → CQV.
