The Administrative Executive is responsible for providing administrative and sales support in a professional and timely manner and personalized secretarial support to the COO. The Administrative Executive works one-to-one with the COO on a wide variety of matters. The candidate must be flexible to meet the demands of our growing organization. 

Duties & Responsibilities:

• To perform the full spectrum of coordination and administrative duties, including data entry, documents, filling, coordinating with our associates etc.

• Efficient document management such as printing and filing of the documents.

• To perform sales support function, order management functions and maintain a detailed sales record in accordance with company sales management procedures and policies.

• Tabulate and prepare monthly sales reports.

• In charge of purchasing, sourcing coordinating delivery and evaluation of suppliers for materials. 

• Prepare purchase orders and coordinate with suppliers.

• Liaise with internal departments to consolidate purchasing needs. 

• Ensure compliance with company purchasing procedures and policies.

• Support in price comparisons, quotation requests and supplier performance reviews.

• Assist with day-to-day operations of the office.

• Monitoring of office supplies.

• Perform secretarial support to COO.

• Handle recruitment process such as posting advertisement, phone screening for shortlisting, arranging interview and etc.

• Help to organize new employee orientation, on-boarding and working schedules.

• Other administrative duties, tasks as assigned by COO.

Requirements

• At least 2 years of relevant experience

• Diploma  or equivalent

• Proficient in MS Office and Excel Software

• Proficiency in English

• Ability to multitask and prioritize daily workload

• Good verbal and written communications skills

• Ability to manage multiple projects simultaneously with effective time management skills.

• Good organizational and administrative skills with attention to detail.

• Positive attitude and willingness to learn.

Responsibilities

• Deliver personalized secretarial support to the COO, managing diverse tasks to facilitate executive decision-making and operational flow
• Coordinate and execute full-spectrum administrative duties including data entry, document management, and filing to ensure accurate and accessible records
• Manage sales support functions by processing orders and maintaining detailed sales records aligned with company sales management policies
• Compile and prepare monthly sales reports to inform business performance analysis
• Oversee purchasing activities by preparing purchase orders, sourcing suppliers, coordinating deliveries, and evaluating supplier performance to optimize procurement processes
• Liaise with internal departments to consolidate purchasing needs and ensure compliance with company purchasing procedures
• Conduct price comparisons, request quotations, and support supplier performance reviews to enhance cost efficiency
• Support daily office operations by monitoring office supplies and maintaining a well-organized work environment
• Manage recruitment processes including posting job advertisements, conducting phone screenings, and arranging interviews to attract qualified candidates
• Organize new employee orientation, onboarding, and scheduling to facilitate smooth integration of new hires
• Execute additional administrative tasks and projects as assigned by the COO to support organizational objectives

Required competencies and certifications

• Proficiency in MS Office and Excel software to efficiently manage administrative and reporting tasks
• Proficiency in English to communicate effectively in verbal and written forms

Preferred competencies and qualifications

• Diploma or equivalent qualification
• Minimum of 2 years relevant experience demonstrating ability to multitask, prioritize workload, and manage multiple projects with effective time management
• Strong organizational skills with attention to detail to maintain accuracy in administrative processes
• Positive attitude and willingness to learn to adapt to evolving organizational needs
