Position Statement

The Administrative Executive coordinates Letters of Agreement, secretarial backup, hotel inspections or any other specific projects as assigned, under the general guidance and supervision of the Groups, Meetings & Events Sales Manager and the Events Servicing Manager.

What will you be doing? 

As the Administrative Executive for Business Development, you will be responsible for performing the following tasks to the highest standards: 

• Handle incoming telephone calls with proper qualification and assign calls to the right contact point. 
• Responsible for assisting the managers in the administrative such as proposals, Letters of Agreement, banquet event orders, group resumes, thank you letters, post event summaries, etc.
• Handle photocopying and distribution of all correspondence such as memos, banquet event orders, Letters of Agreement, resumes, etc. to concerned departments. 
• Maintain a proper filing and trace system for the department. 
• Responsible for maintaining the general tidiness of the department and ensuring sufficient stock of stationery and other office supplies. 
• Be aware of event details related to the accounts of designated Sales Managers. 
• Assist the Sales Managers in liaising with other departments for information (e.g. liaise with Banquet operations for floor plans and equipment / liaise with the Chef for special menus, etc.). 
• Maintain a good understanding of clients serviced by designated Sales Managers. 
• Handle all enquiries and provide initial suggestions on sales enquiries. 
• Handle guests’ requests independently by supplying information, contacting concerned departments to assist in guests’ requests and needs. 
• Update the department meeting minutes and prepare relevant reports. 
• Conduct site inspections if required. 
• Responsible for sending out the post-event critique forms with thank you letters at the end of each event. 
• Assist in ad-hoc projects as assigned by the supervising Sales Managers and / or Director, GM&E / Assistant Director, GM&E. 
• Maintain the highest standard of professionalism, ethics and attitude towards clients and colleagues. 
• Always ensure that a hospitable service atmosphere is projected at all times in the hospitality business.

Roles & Responsibilities 

• Identify and pursue new business opportunities in the energy and sustainability sector. Develop and implement strategies to penetrate new markets and expand the company's client base. 

• Build and maintain strong relationships with key clients, understanding their needs and providing tailored solutions to meet their energy and sustainability objectives. 

• Lead the preparation of high-quality proposals and presentations for prospective clients, showcasing our expertise in energy management and sustainability solutions. 

• Collaborate with internal teams to ensure seamless project execution, from initial client engagement to project completion. 

• Utilize knowledge of the Green Mark Certification process to guide clients through the certification journey, ensuring compliance with standards and achieving desired ratings. 

• Leverage expertise in HVAC retrofit to identify opportunities for energy efficiency improvements and recommend appropriate retrofit solutions. 

• Conduct market research to stay informed about industry trends, competitor activities, and emerging opportunities in the energy and sustainability sector. 

• Represent the company at industry events, conferences, and networking functions to build brand awareness and establish industry connections. 

• Achieve and exceed sales targets and KPIs, contributing to the overall growth and success of the company. 

• Keep track of the projects in progress.  

Requirements 
 
A successful candidate for this position must be able to fulfill each required responsibility properly. This position requires a good background in engineering, energy, and/or sustainability, as well as a strong interest and motivation in the disciplines of Energy and Sustainability. Success requires the ability to learn new topics and adapt to different environments. 

• Bachelor degree in a related technical subject or in Business (e.g. Engineering, Sustainability, Energy, project facilities management, projects, Building, Facilities Management, Building Services)  

• Familiar with Green Mark Certification & HVAC Retrofit is preferred 

• 3-5 years of experience in delivering sustainability consulting projects, green building projects, or in a related role is preferred 

• ACMV knowledge is preferred 

• Excellent communication abilities, including report writing and visual and verbal presentation approaches, as well as the ability to read and comprehend reports and technical drawings. 

• Interest in energy & sustainability. 

• Interact with multiple groups, such as relevant government bodies (BCA, NEA, for example) or civic organizations and corporate personnel. 

• Explore and introduce new market-available technology and products. 

• Analytical in interpreting trends from data generated from an energy management system and highlighting anomalies in the data 

• Flexible and efficient in problem-solving 

• Excellent planning and organizing skills
