4. Store Coordination

Responsible for coordinating with store teams to monitor stock requirements, replenishment needs, asset movement and operational usage trends to ensure timely procurement and logistic closely work operational support.

5. Asset / Machinery / Equipment Coordination

Responsible for coordinating internal or external rental machinery, tools, equipment and company asset movement for project/site, Building/ Dorm operational requirements, including proper documentation, loan/return control, asset tracking and follow-up.

6. Delivery Coordination & Operational Support

Responsible for coordinating with logistics, suppliers, site personnel and internal departments to ensure materials, tools, machinery and equipment are delivered accurately and on time according to operational requirements.

7. Documentation Control, Record Keeping & E-Filing

Responsible for maintaining proper procurement and asset management records including quotation comparison records, PO, DO, GVN, vendor evaluation, rental records, asset movement records and supporting documents in accordance with ERP requirements, SOP, ISO documentation standards and company governance requirements.

8. Procurement Reporting & Issue Escalation

Required to escalate issues early together with proposed solutions where applicable.

9. Vendor Evaluation & Supplier Performance Monitoring

10. Internal  & External Audit +  Process Control Support

Responsible for supporting internal & external audit, ISO process control review and governance improvement initiatives by ensuring procurement and asset management transactions and records remain complete, traceable and properly maintained.

11. Tender / Sample / Supporting Documentation Support

Responsible for coordinating sample submissions, catalogues, technical specifications and procurement-related supporting documents for tender or project operational requirements when required.

Key Responsibilities:

• To ensure the efficient and smooth operation of all matters relating to maintenance and management of the properties.
• Responsible for preserving the good condition of the infrastructure that they are safe and well maintained and functioning.
• Fully responsible for the day-to-day operation of the building, ensuring all facilities are always fully operational.
• Schedule, coordinate and supervise all maintenance functions to the highest standard expected for the client and the subsidiary proprietors.
• Plan, co-ordinate and facilitate weekly meetings.
• Manage and supervise all maintenance and administrative staff assigned to the complex/building.
• Manage and review all vendor contracts, agreements and insurance before their expiry and recommend renewal or call for quotation/ tender
• Ensure all contract works/ routine servicing is carried out accordingly as specified in their contract’s agreement.
• Maintain continuous contact and communication with vendor contractors, clients and staff.

Requirements:

• Relevant years of experience in managing industrial, commercial and residential buildings
• Diploma/Degree in Estate Management, Facilities / Hospitality / Business preferably familiarity with BMSMA
• Strong communication and negotiation skills

• Well organized and able to optimize cost, space and equipment while working within the budgeted operational costs

Key Responsibilities:

• Manage and liaise with tenants for all properties under the company.
• Schedule rosters, inspections, and maintenance of hard and soft services, including cleaning, security, pest control, landscaping, building, mechanical and electrical systems (e.g., ACMV, fire-fighting and fire protection systems, and building automation systems).
• Oversee general management tasks, such as contract administration, sourcing and calling for quotations, license renewals, and estate management.
• Maintain proper documentation and inventory within the department.
• Monitor and ensure the safe and efficient operation of all plants and equipment across all properties.
• Coordinate and supervise maintenance activities carried out by contractors and in-house staff, including technicians, cleaners, and security officers, for building services, systems, and equipment.
• Conduct on-site inspections and monitor work progress. Supervise contractors during building works, mechanical and electrical maintenance, and urgent repair tasks to ensure compliance with required specifications and standards.
• Analyse defects in plants and equipment and initiate corrective actions.
• Perform any other ad-hoc duties as assigned.

Requirements:

• Knowledge and experience in project management for building works is an added advantage.
• Diploma in Real Estate / Building Management / Hotel Facilities Management or Higher NITEC in Facilities Management
• Ability to schedule and manage inspections, maintenance, and repair activities effectively.
• Strong coordination and supervisory skills to manage contractors and in-house teams.
• Familiarity with building services, systems, and equipment, including ACMV, fire protection, and automation systems.
• Detail-oriented with strong documentation and inventory management skills.
• Analytical skills to identify defects and propose corrective measures.
• Relevant experience in managing building, condominiums, hospitality, office or commercial building.
• Proficiency in Microsoft Office, Google Workspace
