Job scope:

• Oversee the reception area, visitor holding space, and meeting rooms, ensuring they are always clean, organized, and presentable
• Handle all incoming calls and departmental queries promptly and professionally, routing them according to company policies
• Manage visitor check-in/check-out processes and provide guidance and hospitality, including escorting guests to meeting rooms and serving refreshments
• Coordinate meeting room bookings and manage visitor access passes in line with company procedures
• Process and track incoming and outgoing couriers to ensure timely delivery to the correct recipients
• Maintain office cleanliness
• Monitor and replenish meeting room supplies such as whiteboard markers and dusters
• Assist in the procurement of office and pantry supplies
• Liaise with building management and external vendors on facility-related matters 
• Support miscellaneous administrative tasks
• Perform other ad-hoc duties as required by management

Job Requirements:

• GCE ‘O’ Level and above
• At least 1 year of receptionist or customer service experience
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Strong communication and interpersonal skills
• Able to commit at least 2 to 3 days per week

Job Responsibilities:

• Manage front desk and reception duties, including call handling, visitor coordination, paging, and meeting room control
• Handle incoming and outgoing mail, parcels, courier arrangements, and ensure accurate distribution and dispatch
• Maintain reception, mail room, and showroom display screens in proper working condition
• Coordinate and raise requisitions for office supplies
• Perform general administrative support including billing records, payroll verification support, access card management, and courier tracking
• Provide ad-hoc administrative and office support duties as assigned

Job Requirements:

• Min GCE "O" levels and above
• At least 1 year of customer service or receptionist experience

• Working hours: 740am to 5pm
• Mondays to Fridays

Key Responsibilities

• Provide HR and administrative support for day-to-day operations and ensure service delivery meets client SLAs

• Coordinate recruitment, onboarding, and offboarding processes

• Handle staff attendance, leave applications, and claims administration

• Prepare reports, billing, and documentation accurately and on time

• Support employee engagement, performance review, and disciplinary or grievance matters where required

• Investigate service lapses, conduct audits, and recommend improvements

• Liaise with stakeholders to streamline processes and enhance efficiency

• Assist with any other ad-hoc HR and administrative duties as assigned

Requirements

• Diploma in HR or related discipline

• At least 1 year of HR Admin or project operations experience

• Strong communication and stakeholder management skills

• Proficient in MS Office; SAP/Workday experience is a plus

• Detail-oriented, proactive, and able to multitask in a fast-paced environment

• Able to adapt quickly and work independently when required

Working Hours / Location

• Mon – Fri, 8.30am – 6pm (Hybrid Work Arrangement)
