• Assist with troubleshooting basic system or process issues related to vendor invoicing.

Reporting & Data Support

• Prepare and maintain regular procurement reports, including KFC and other management reports.
• Support data extraction, validation and analysis to ensure accuracy and consistency of procurement reporting.
• Maintain trackers covering supplier status, contracts, onboarding and compliance.

HSE & Supplier Compliance Coordination

• Support HSE coordination activities, including PQNC tracking, audit preparation and follow‑up.
• Maintain records related to supplier audits, compliance checks and corrective action plans.
• Liaise with HSE, Operations and suppliers to support timely resolution of compliance matters.

Operational Support & Helpdesk

• Act as a first‑line procurement helpdesk, supporting delivery issues, supplier queries and internal requests.
• Coordinate with Procurement Managers to resolve supplier or service issues efficiently.
• Track and follow upon issues to closure to ensure service continuity.

New Product & System Setup Support

• Support new product creation activities in procurement or vendor data management systems (e.g. VDM– subject to confirmation).
• Ensure required data fields, approvals and documentation are completed accurately prior to activation.

Experience & Qualifications

• Diploma or equivalent experience in Procurement, Supply Chain, Business Administration or a related discipline.
• Over 2 years’ relevant experience in procurement, supply chain coordination or administrative support roles.
• Experience working with procurement or ERP systems (e.g. VIM, vendor master, contract management tools)is an advantage.
• Comfortable working with data, documentation and system‑based processes.

1. Procurement and Sourcing

• Source, evaluate, and negotiate with suppliers to obtain the best value in terms of quality, cost, delivery, and service.
• Prepare and process purchase orders in accordance with company procurement policies.
• Identify alternative suppliers and develop strategic sourcing plans to reduce supply risks.
• Conduct market research and monitor industry trends to support purchasing decisions.

2. Supplier Management

• Establish and maintain strong relationships with local and overseas suppliers.

• Ensure timely replenishment of raw materials and packaging materials.

4. Cost Control and Budget Management

• Negotiate favorable pricing, payment terms, and contractual agreements.
• Monitor procurement expenses and identify cost-saving opportunities.
• Support annual budgeting and procurement planning activities.
• Analyze purchasing data and prepare cost-performance reports.

5. Logistics and Delivery Coordination

• Coordinate delivery schedules with suppliers and logistics providers.
• Monitor shipment status and ensure timely receipt of goods.
• Resolve delivery delays and supply chain disruptions efficiently.
• Ensure all purchased items are delivered according to specifications and requirements.

6. Documentation and Compliance

• Maintain accurate procurement records, contracts, supplier agreements, and purchasing documentation.
• Ensure compliance with company policies, food safety requirements, and regulatory standards.
• Verify invoices, delivery orders, and supporting documents for payment processing.
• Support internal and external audits related to procurement activities.

7. Cross-Functional Collaboration

• Work closely with Production, Quality Assurance, Warehouse, Finance, and Operations departments.
• Support new product development projects through supplier sourcing and material procurement.
• Participate in continuous improvement initiatives to enhance procurement efficiency.

Qualifications

• Minimum 2–3 years of relevant procurement experience, preferably in food manufacturing or FMCG industries.
• Proficient in Microsoft Office applications and ERP systems.
