We are seeking a proactive and detail-oriented Vessel Management Officer to support the company's vessel management operations. The successful candidate will be responsible for coordinating vessel audits, inspections, certifications, and regulatory compliance activities.

Key Responsibilities

• Coordinate and monitor vessel audits, inspections, surveys, and certification processes.
• Ensure vessels maintain compliance with applicable maritime regulations, company policies, and industry standards.
• Liaise with vessel masters, shipboard personnel, auditors, classification societies, flag state authorities, and external stakeholders on compliance matters.
• Track certification validity and ensure timely renewal of statutory, class, and operational certificates.
• Prepare, maintain, and update compliance records, audit reports, inspection findings, and corrective action plans.
• Follow up on audit observations, non-conformities, and corrective actions to ensure timely closure.
• Coordinate documentation submissions and ensure all vessel records are accurate and up to date.
• Prepare periodic compliance reports and provide updates to management.

Requirements

• Diploma or Degree in Maritime Studies, Marine Engineering, Nautical Studies, Shipping, or a related discipline.
• Minimum 2-5 years of relevant experience in vessel management, marine operations, technical management, or maritime compliance.
• Familiarity with vessel audits, inspections, statutory certifications, and maritime regulations.
• Experience liaising with classification societies, flag administrations, auditors, and vessel personnel.
• Meticulous, proactive, and able to work independently in a fast-paced environment.

Preferred Qualifications

• Experience in ISM, ISPS, MLC, ISO, or other maritime compliance frameworks.
• Exposure to tanker, bulk carrier, container vessel, or offshore vessel management environments.

• Oversee and drive the resolution of highly complex operational, technical, and service-related issues across the full suite of products and processes including Prime Services (e.g. financing, securities lending, listed derivatives and OTC clearing, synthetic prime, reporting, margin oversight) and Franchise products and functions (eg. Equity and Fixed Income Execution, OTC Derivatives – Equity Derivatives, Credit and Rates products, and FX).
• Act as a strategic liaison between clients and internal teams (Operations, Technology, Risk, Legal, Compliance) to ensure seamless service delivery, efficient prioritisation of issue resolution, and proactive communication on complex issues 

Product & Market Expertise:

• Possess a deep and comprehensive understanding of Prime Services and Execution products, global financial markets, market structure, and the regulatory landscape
• Provide expert guidance and thought leadership to clients on product capabilities, market trends, regulatory changes impacting their business, and the adoption of new reporting and technology applications.
• Stay abreast of industry developments, competitive offerings, and emerging technologies to proactively advise clients and internal stakeholders.

Risk Management & Compliance:

• Identify, assess, and mitigate operational, credit, and reputational risks associated with client activities and service delivery, escalating potential risks to relevant stakeholders at an early stage.
• Ensure strict adherence to internal policies, procedures, and all relevant regulatory requirements, including performing checks around short sales violations, cancel/corrections of trades, and aged settlements.
• Contribute to the development and implementation of robust risk controls, regulatory reviews and client service best practices.

Job Summary

Manage end-to-end HR functions including payroll, recruitment, onboarding, employee development, government compliance, and performance management to support organizational growth and staff retention.

Responsibilities

• Process payroll and leave accurately using Timesoft Software to ensure timely employee compensation
• Maintain and organize HR records digitally on Google Drive and in physical files for compliance and easy retrieval
• Execute recruitment and onboarding processes to attract and integrate new employees effectively
• Manage offboarding procedures to ensure positive employee exit experiences and maintain good relations
• Develop and implement employee growth opportunities to enhance skills and career progression
• Prepare and coordinate submissions for all government-related HR matters to ensure regulatory compliance
• Source, apply for, and track government grants to maximize available funding for HR initiatives
• Administer Ministry of Manpower (MOM) passes and Letters of Consent applications to support workforce needs
• Design and lead performance appraisal exercises to evaluate and improve employee performance
• Plan and deliver monthly training sessions to build staff capabilities and meet organizational goals
• Provide professional and responsive customer service for inbound and outbound communications via phone, email, and chat
• Perform additional HR duties as assigned to support team and company objectives
