Assistant Manager Front Office

The Assistant Manager shall assist the Duty Manager to run the department to ensure a smooth operation at all times.

He/she shall assist in the daily running of the department in line with the company's expectations, maintaining high standards and at the same time, be wary of the business environment and adjust accordingly when needed. 

He/she shall also be assigned to overlook associates on work procedures and paperwork and ensure that the counter and lobby are always kept cleared and guests are well taken care of.

Reporting to the Front Office Managers and the incumbent will be responsible to:-

Operations

• Be well-versed in the Front Office operational procedures & PMS and guests key card system software.

• Ensure room categories are balanced.

• Control rooms situation at the desk and giving clear direction to associate on rooms.

• Supervise Guest Service Executive jobs and procedures.

• Perform weekly night shift duties when needed.

• Cover Group Coordinator and Guests Relations duties when needed.

Administration

• Ensure reception traces a resolved during shift. 

• Participate actively in daily briefings to ensure essential information are relayed to the team members.

• Ensure rooms are blocked according to guests’ preferences and requests for all Front Office sections.

• Ensure all groups resumes are read through and understood, and group rooms blocked according.

Lobby Service

• Conduct regular lobby walks to establish rapport with in-house guests.

• Ensure guests are attended to and queue managed accordingly together with the Duty Manager.

• Analyse and response to guests’ needs accordingly and report major feedback to Duty Manager. 

• Act immediately to resolve any negative feedback from guest and feedback to duty manager for a follow up.

• Manage and improve guest reviews score.

Staff Training & Development

• Participate actively on new colleagues training (shadow system) based on induction program.

• Ensure grooming standards of all associates.

• Ensure Guest Service Executives are aware of SOPs and remind if necessary.

Control

• Ensure proper understanding of Cashier closure procedures.

• Ensure proper control measure is in place to check associates closing paperwork.
  

Cash Floats

• Ensure cash float agreement is read and understood.

• Ensure associates floats’ are counted prior and after their shift.

Front Office Manager

The Front Office Manager is responsible for overseeing all aspects of the Reception Operations efficiently and to lead the YOTELAIR front desk team by example and motivate them.

Main Responsibilities

• Handles daily maintenance of room inventory status to achieve optimal levels of revenues while maintaining high levels of guest satisfaction
• Anticipate guest needs through observation and offer prompt, efficient service either personally or through effective communication with other departments
• Coordinates with Mall management security with regards to any criminal act within the Hotel or suspicious guests
• Work with relevant departments on vouchers, billing instructions, rebates, deposits to ensure no bad depts, skippers, untraceable charges and allowances.
• Coordinate and take charge of any emergency while higher Management is not on duty in hotel premises. Supervises and executes required emergency procedures in the events of fire, power failure and other emergency situations
• Maintain absolute cleanliness and ordinance of all areas and displays at Mission Control, Ground Control, KOMYUNITI Lounge (club lounge) and all public areas on lobby including Restrooms, Public Showers and Gym.
• Ensure that pre-check in procedures are effectively carried out according to standard operating procedures
• Deal with guests’ enquiries, problems and complaints promptly, efficiently and courteously to the satisfaction of guests and interest of the Hotel
• Ensure High guest facing visibility at all times. Divide time in the lobby and all other areas to ensure that the Reception department is operating effectively.

Knowledge, experience, skills required

• Minimum of 2 years of customer experience as Duty Manager or 3 years as a Front Office Supervisor in mid-scale and/or upper midscale establishments that practice excellent customer service.
• Solid computer skills and good working knowledge of Property Management Systems such as Opera. Ability to learn new Property Management Systems, such as Stay N Touch - Rover PMS.
• Ability to read and speak English fluently. Second or multiple languages are a plus.
• Willing to work shifts including overnight shifts
• Candidate must possess at least Diploma/Advanced/Higher/Graduate Diploma in Hospitality/Tourism/Hotel Management or equivalent.

Job Description

This position shall ensure that building projects remain within budget to provide cost and material estimates and advice, draw up projected budgets, monitor budget, and work alongside a team, noting any design changes and their effect on cost. Quantity surveyors often liaise with builders, architects, engineers, external quantity surveyors and others.

Vendor Sourcing (Liaison with Procurement)

• Vendor Sourcing and Maintaining Vendor List by assisting Procurement

• Providing Quantities and all technical requirement to Procurement

Quantity Surveying & Cost Estimate

• Preparation of Cost Appraisals for Feasibility Studies

• Measurements and Preparations of BOQs

• Preparation of Cost Data and assisting in Cost Plan preparation

• Leads in Value Engineering Exercise for alternative materials and construction methods.

• Working with team and related department/ QS Consultant / Consultants in providing best option for projects

• Identify and communicate potential problems with related departments.

Tender Management & Contract (Including liaison with external QSs)

• Lead/Assisting in Tender Preparation and Tender Management

• Lead/Assisting in preparation of Contract Documents

Post Contract Management (Including liaison with external QSs)

• Prepare and update project budget and actual costs.

• Update Tender Timeline and Cash flow projections.

• To prepare all Variation Orders claims and to review External QS Consultants VO Claims Evaluation and Assessment and their Financial Statements.

• Post Contract administration and final accounts settlement

• Price Comparison and Analysis

• Evaluation and Assessment of all claims

• Cost and Payments Monitoring

• Verify and evaluate detail estimations and preparation of VO / VE

Others

• Familiar and have good understanding on Quantity Surveying process

• Drafting and Preparation of Services Agreements of Consultants

• Drafting and Preparation of Actual Cost vs Budget.

• Good initiative and able to work with Teams of different department.

• To attend progress and technical meetings including all cost and technical internal meetings.

• Be independent and mature in your works and characters.

• To have proper time management at all aspects.

Job Requirements

• Degree in Quantity Surveyor, Construction Economics, Building, Construction Management or Civil Engineering with more than 15 years of experience

• Skills required: Electronic Measurement (CADD, Cost X and Gloden)

• Able to travel to Batam (Day trip / Quarterly)
