About the Role
We are seeking a responsible and organised Secretary (Admin & Maintenance) to provide comprehensive administrative and secretarial support to the Chief Executive Officer (CEO), and to oversee general office administration and facilities coordination.

The incumbent will assist in coordinating assigned business activities and follow up on project statuses with functional managers and supervisors to ensure smooth operations.

Key Duties and Responsibilities

• Manage and maintain the CEO’s calendar, appointments, and daily schedule

• Screen incoming calls and correspondence for the CEO

• Organise and coordinate monthly management and departmental meetings

• Prepare reports, presentations, and meeting materials as required

• Arrange travel, transport, and business reservations for the CEO

• Liaise with outsourced IT vendors on internet connectivity and IT equipment matters

• Coordinate procurement of IT equipment and office devices

• Oversee maintenance of CCTV and office security systems

• Coordinate monthly pest control services

• Manage courier services (e.g., FedEx, DHL)

• Oversee procurement of office stationery and pantry supplies

• Manage printing of business cards

• Administer security access cards for employees

• Arrange annual fire extinguisher inspections

• Manage meeting room bookings and ensure meeting facilities are properly maintained

• Set up video conferencing equipment when required

• Coordinate company events, festive celebrations, and customer gift arrangements

• Oversee maintenance of office equipment (TV, sound system, photocopiers, pantry appliances)

• Coordinate air-conditioning servicing and utility matters

Requirements

• Diploma or equivalent qualification in Business Administration or related discipline

• At least 2–3 years of relevant experience in secretarial or administrative support

Key Responsibilities

• Coordinate and follow up on maintenance requests and preventive maintenance for outlets and Central Kitchen
• Maintain proper records of service contracts, equipment, and maintenance documentation
• Generate and track maintenance schedules to ensure timely servicing
• Process Purchase Requisitions (PR) and Purchase Orders (PO), and liaise with finance on payments and related matters
• Coordinate and arrange dispatch of QA supplies to outlets
• Support documentation, filing, and administrative tasks related to QA and operations

Requirements

Working Location

Job Scope

• Manage Maintenance administrative functions, document control, and filing across local and network shared storage drives.
• Raise, process and verify Purchase Requisitions (PRs), invoices, Delivery Orders, and Goods Receipts (GRs) accurately in SAP.
• Provide SAP operational support, including routine housekeeping, system testing, Disaster Recovery (DR) exercises, SAP upgrading and issue coordination with IT.
• Exports data from SAP, compile & prepare Monthly Budget Reports and Spare Parts Consumption list for Managers’ review & approval.
• Compile the list of CAPEX items to be executed by Maintenance as well as the monthly CAPEX status updates by respective Maintenance Sub-Function for submission.
• Support audits, HR systems usage (Prosoft HRMS), online access applications as well as managing& track usage & demand of the various permit-to-work.
• Other ad-hoc duties which may be assigned from time to time.

Requirements

• Minimum GCE 'O' level or equivalent qualifications
• Possess 2 years of relevant experience
• Proficient in MS Office (MS Excel and MS Word)
• Candidates with SAP working knowledge will have an added advantage

JOB PURPOSE

The Stormwater Drainage Specialists primary role is to assist the Operations Supervisor in the desilting and cleaning of any Stormwater drainage assets to the satisfaction of the Operations Supervisor.

PRIMARY RESPONSIBILITIES:

Duties of this position include but are not limited to:

1. Highlight any possible safety risk before or while working to OS
2. Monitor and guide pedestrians away from drainage working area
3. Assist to carry out signalling duties for traffic where needed
4. Assist to cordon off any opening which may cause danger
5. Assist to deploy safety cones where needed
6. Clearing of resultant debris from drainage works
7. Operate high pressure jetting equipment
8. Operate mechanised equipment
9. Carry out desilting of various drainage assets

The job entails working outdoors for long hours in a physically challenging environment. The job also requires repetitive movement and the use of basic working tools to carry out the task assigned. There could be possible smell nuisance in some areas of work and the one could encounter debris deemed unpleasant and dirty. Some areas of works also require working in confined spaces and working at height.
