We are engaging temporary staff to support the department digitalisation project by converting physical equipment service history cards and maintenance reports into digital records within the CALSYS 2.0 system. This role involves document handling, photo capture, basic data upload, and file organisation.
Key Responsibilities
Digitise hard copy equipment service history cards and reports by:
- Taking clear and legible photos of documents
- Uploading records into the CALSYS 2.0 platform
Ensure uploaded records are correctly organised and tagged by:
- Equipment ID
- Date
- Document type
• Verify document clarity, completeness, and correct association with equipment records
• Handle cases where equipment or asset records are not found in CALSYS 2.0 by:
- Flagging such documents
- Consolidating and organising them into a designated holding directory for follow-up
• Maintain proper care, confidentiality, and traceability of physical and digital records
• Track daily progress and report status to the assigned supervisor
• Escalate missing, damaged, or unclear documents as required
• Follow provided SOPs, naming conventions, and document control guidelines
Requirements
• Minimum secondary education (or equivalent)
• Basic computer and smartphone literacy
• Comfortable handling physical documents
• Detail-oriented and able to perform repetitive tasks accurately
• Able to follow instructions and standard procedures
• Prior experience in data entry, document control, or digitalisation is an advantage but not mandatory
Work Arrangement
• On-site work required (physical document handling)
• Office hours: 9 to 5
MUST be able to commit for at least 2 month
