DUTIES AND RESPONSIBILITIES – HR/ADMIN EXECUTIVE
Human Resources (HR)
· Manage end-to-end employee lifecycle including onboarding, offboarding, and employee records maintenance
· Coordinate onboarding logistics such as office equipment, laptops, mobile lines, and system access
· Support recruitment activities including job postings, interview coordination, and candidate communication
· Maintain and update HR policies, employee handbook, and ensure compliance with local labor regulations
· Administer employee benefits, including insurance, medical claims, and leave management
· Handle employee relations matter with professionalism and confidentiality
· Maintain accurate HR documentation and personnel files
· Liaise with HQ IT on system access, troubleshooting, and local IT requirements
· Assist in performance management processes, training coordination, and employee engagement initiatives

Administrative & Executive Support
· Provide full administrative support to COO / GM, including calendar management, scheduling meetings, and travel arrangements
· Coordinate meetings, prepare agendas, presentation materials, and record minutes with follow-up on action items
· Anticipate and prepare information required for meetings, reports, and presentations
· Manage flight and hotel bookings for management and staff
· Act as liaison between senior management, internal teams, and external stakeholders
· Handle sensitive and confidential information with discretion
· Receive and attend to visitors and guests professionally

Office Management
· Oversee daily office operations and ensure smooth administrative functioning
· Manage meeting room bookings and office calendar
· Maintain staff attendance records for office and warehouse personnel
· Procure and manage office supplies including pantry items and stationery
· Oversee office facilities and equipment (e.g. printers, furniture) and coordinate maintenance or repairs
· Liaise with building management on office maintenance, cleaning, and facility-related matters
· Organize internal events and staff engagement activities (e.g. D&D, family day, festive events)
· Chair and coordinate company recreation or welfare initiatives

Legal & Compliance
· Support handling of company insurance policies and renewals
· Assist in coordinating legal matters, documentation, and liaising with external legal advisor where required
· Ensure proper documentation, filing, and compliance with corporate and regulatory requirements

Requirements
· Diploma or Degree in Human Resource Management, Business Administration, or related field
· Minimum 3–5 years of relevant HR and administrative experience
· Strong organizational and multitasking skills
· Excellent communication and interpersonal skills
· High level of integrity and ability to handle confidential information
· Proficient in Microsoft Office applications
· Experience in supporting senior management is an advantage
