Reporting to the General/Operations Manager, the incumbent will support vessel turnaround by handling port formalities, bunkering, cargo, cruise, and husbandry operations, including technical calls. While applicants should have experience on most of the responsibilities below, ample training and coaching will be provided to the right candidate.

RESPONSIBILITIES

Mainly but not limited to:

• Plan, coordinate and execute all aspects of port calls, including for cargo and cruise vessels, to ensure safe, efficient and timely turnaround.
• Plan, perform and coordinate port agency work for both cruise and cargo vessels, including berth and terminal arrangements, liaison with all relevant authorities and terminals, and completion of Immigration, Customs and other port formalities related to the vessel’s port stay.
• Coordinate and handle all operational and husbandry matters for vessels’ port calls, including but not limited to bunkering, cargo and cruise operations, crew changes, stores, provisions, spares, medical assistance and related services.
• Handle vessels’ technical calls, including drydocking, ship repairs and related operational arrangements.
• Carry out accurate and timely electronic data entry and updates at all stages of the port call and maintain proper records in the relevant systems.
• Supervise, and where necessary actively handle, port calls in other countries (e.g. Malaysia, Indonesia, South Korea, etc.) by acting as Hub Agent and coordinating with local partners.
• Work and communicate effectively with various Principals (including but not limited to shipowners, charterers and operators) and local suppliers on all ship matters related to the port call.
• Physically attend vessels and act asboarding officer for cash-to-master (CTM) delivery, documentation or any other operational requirement whenever deemed necessary.
• Prepare and issue Proforma Disbursement Accounts (PDA) and forward them to Principals where required.
• Thoroughly verify and submit all vessel-and port-call-related invoices to the Accounts/Finance department for issuance of Final Disbursement Accounts (FDA).
• Perform any other operational or ad hoc duties as may be assigned by the Superior/Management from time to time.

EDUCATION & EXPERIENCE:

• ‘N’ or ‘O’ level and above
• 1 – 2 years of previous experience as a port agent
• Experience in handling port agency matters for cruise vessels or being WSH certified will be considered a valuable addition.

RESPONSIBILITIES

The role of Operations Executive (OE) is to assist the Operations Manager (OM) in the strategic management of Fernvale Gardens School's environment (estate, facilities, resources, processes), school safety and security, risk management, health matters and emergency preparedness processes. Qualifications & Experience

▪ Bachelor’s degree in Finance, Business, Commerce, or related field is advantageous

Job Summary:

Seeking an experienced bunker operations professional to manage daily vessel operations, documentation, and compliance across Singapore port activities.

Responsibilities

• Coordinate daily bunker operations and vessel schedules to ensure smooth execution
• Liaise with vessel masters, barge operators, surveyors, suppliers, and port authorities on delivery arrangements
• Monitor bunker loading and discharging activities for efficiency, accuracy, and compliance
• Prepare, review, and verify operational documentation including BDN, cargo documents, delivery reports, port documents, and Statements of Facts
• Track vessel movements and provide timely operational updates to customers
• Record and reconcile cargo quantities, fuel transfers, and inventory movements accurately
• Conduct spot checks to ensure safety, regulatory, and operational compliance
• Coordinate with internal teams on operational issues, discrepancies, claims, and delays
• Manage post-fixture operational matters and resolve day-to-day operational challenges
• Maintain proper documentation, filing systems, and operational records
• Prepare operational reports and provide regular updates to management
• Support emergency response and incident handling when required
• Perform other ad-hoc operational duties as assigned

Requirements

• Minimum 3 years of relevant experience in bunker operations, shipping operations, tanker operations, or the maritime industry
• Familiarity with Singapore port operations and bunker procedures is an added advantage
• Knowledge of maritime documentation and end-to-end operational processes
• Ability to work effectively in a fast-paced, operations-driven environment
• Strong coordination, problem-solving, and multitasking capabilities
• Proficiency in Microsoft Office applications

Payroll Processing & Administration

• Own and manage the payroll process, including liaising with our payroll vendor to ensure the monthly payroll computations and ad-hoc payroll computations for new joiners and terminations are accurate and in compliance with Singapore and overseas labour laws and statutory requirements.

• Ensure the accuracy of payroll data by verifying data against supporting documents.

• Liaise and manage payroll vendors in overseas offices (e.g. Taiwan) to review and process payroll for overseas employees in compliance with local tax and labour laws. Check overseas payroll reports (e.gs. China).

• Handle monthly statutory submissions, including CPF, government paid leave, maternity leave, paternity leave, childcare leave, and other relevant obligations.

• Annual income tax preparation and declarations for employees in compliance with local tax regulations. This includes foreign employees’ tax clearance.

• Provide detailed monthly payroll reports to finance.

• Manage and oversee employee loan repayment, which could involve authorized deductions from employee salaries.

HR Operations

• Support the HR team with employee life cycle management in pre-hire, on-boarding, off-boarding, and training records administration.

• Maintain accurate employee records on the HRIS Workday platform and e-pfile in a timely manner.

• Support the HR team in preparation for employment letters, visa travel letters, etc.

• Administer employee benefits programs (insurance claims and enrolment, long service award, etc.)

• Support the HR team in preparing reports, analysis and surveys preparation, e.gs. MOM, MPA, salary and benefits surveys.

• Support the HR team in administrative matters such as invoice processing, liaising with Finance on payment-related matters, work pass applications or renewal, renewal of season parking for eligible employees.

• Identify opportunities for HR operations transformation by leveraging technology for increased effectiveness and efficiency.

• Ensure data integrity and ensure compliance in all HR operations.

• Handle HR-related queries and perform any other ad-hoc duties as required.

Requirements:

• Bachelor’s degree in Human Resource, Business Administration or similar specialization.

• Minimum 2 years of hands-on experience in payroll processing or managing payroll vendor.

• Strong understanding of payroll regulations and compliance for Singapore and potential overseas locations.

• Experience with payroll vendor migration and integration of HRIS to payroll system will be an advantage.

• Prior experience with global HRIS systems, such as Workday or similar platforms, showcasing the ability to navigate and utilize these systems effectively.
